Where Can You Find Step-by-Step AI Automation Ideas for Your Small Business? 12 Real Setups to Copy (2026)
Updated October 31, 2026 · 12 sourced examples · 12 businesses: 7 owner-told, 5 press, 0 vendor · no paid placement
Start with what other small businesses already did, not with a tool list. Our library has 576 sourced cases, and each one names the business, links the source, and gives 3 to 5 setup steps plus a copy-paste prompt. Below are 12 of them, one per common job: a Wisconsin salon that texts missed callers back (112 missed calls captured in four weeks, about $1,800 booked), a New York shop co-owner whose email replies went from about 10 minutes to a minute or less, a Houston-area burger restaurant that builds staff schedules in ChatGPT, and nine more. Most of them started with a chat subscription and one weekly task, and a person still checks the output.
- The 12 setups cover the jobs owners hand off most: missed calls, customer emails, review replies, social posts, price-shopper replies and follow-ups, proposals, staff schedules, monthly numbers, SOPs and policies, visit summaries, a small internal tool and new-hire onboarding.
- 7 are owner-told (two podcasts, a video show, a LinkedIn post, an owner's own guide, OpenAI Academy and testimony to Congress) and 5 come from press (AGRR Magazine, Ratchet+Wrench, Business Insider, the Houston Chronicle and Brewer Magazine). None are vendor case studies.
- ChatGPT is the tool named most (5 of the 12). Claude and Google Gemini appear too; three sources don't name the tool, and the vet uses his own scribe tool.
- Each step list starts with what the business actually did, then gives the steps to copy it. Where we add our own advice, the case says so.
- A person stays in the loop. Sara Rojas reads every reply before it goes out, Tonnika Haynes makes the decisions while AI cleans up the wording, and Michael Perozzo says every recommendation still needs human judgment.
- Not every test sticks: a Grand Rapids cleaning company pulled its AI phone assistant after customers complained. The section on testing first covers four of these.

Where can you find step-by-step AI automation ideas for a small business?
The most useful ideas come from businesses like yours that already did it. Our case library collects them with a source link for every one: 576 cases from restaurants, salons, home services, retail, professional firms, gyms, clinics, real estate and auto shops. Each case page shows who did it, the tools they named, what they reported, 3 to 5 setup steps and a prompt you can paste into ChatGPT, Claude or Gemini.
Browse by trade (restaurants, home services, salons and spas, retail, auto repair) or by job (calls, customer service, marketing and social, bookkeeping and admin, scheduling, reviews).
For the exact clicks inside one product, that product's own help docs are the best source. Our steps name the tool each business used, so you know which docs to open (our suggestion).
Which automation should you start with?
Most of the 12 businesses above started with one task they did every week and a chat subscription they already had. A simple way to choose (our suggestion, based on these cases):
- List the writing and copying jobs you did last week: replies, posts, schedules, reports, policies.
- Circle the one that came up most often and that you'd be happy to check rather than write: that's your first automation.
- Open the matching case above and follow its steps exactly once, with the prompt on the case page.
- Keep a person on anything that reaches a customer until it has been right for a few weeks.
- Only then look at tools that connect to your phone, inbox or booking system.
Which jobs have a full step-by-step guide?
These guides answer one question each, with every real business we found for it, a tool and price table and an FAQ:
- After-hours calls for HVAC companies (9 real companies)
- Booking by text for hair salons (6 real salons)
- Following up leads and quotes for contractors (10 real companies)
- Replying to Google and Yelp reviews for restaurants (5 real restaurants)
- Writing social media posts every week (7 real businesses)
- Categorizing transactions and reconciling QuickBooks (7 real businesses)
- Writing client proposals for agencies and consultants
- Client onboarding for accounting firms (5 real firms)
- Sorting and answering client emails for insurance agencies (7 real agencies)
What should you test before you trust an AI automation?
Phones are where customers notice first. Kyleigh Lipsitz of The Blissful Clean in Grand Rapids set up an AI assistant for after-hours calls and removed it after customers said they hated talking to it; she went back to voicemail with a callback the next day (full case). The Boston Globe reports that some of Tony Naser's pizza customers were "standoffish" when AI started answering (full case), and Billy Marino of Leona's Pizzeria found callers tried to reach a person as soon as they wanted to place an order (full case).
Check the output, not just the status. Dr. Steve Pelton found his scribe tool was quietly dropping exam findings from discharge-only notes while still reporting success, so he now checks every note until a workflow has earned his trust.
So: try it yourself first, start with one narrow job, read every output for the first two weeks and decide in advance what would make you pull it (our suggestion).

Missed calls texted back with a booking link: Metropolitan Salon & Spa (Wisconsin, owner-told)
Cindi Mausehund, owner of Metropolitan Salon & Spa in Wisconsin, on the Profitable Salon Owner podcast (High Performance Salon Academy)
Tools: AI phone/text assistant (not named in the episode) · Job: Let AI capture missed salon calls, text guests to book, fill last-minute openings and run a we-miss-you campaign
What it does: Her salon uses AI on the phones and texts so missed calls get an automated but customizable text that lets the guest book without waiting for a callback. The same system can suggest add-on services, text clients about same-day or next-day openings, and run 'we miss you' outreach to guests who haven't visited in a while. Staff can jump into any conversation. The podcast does not name the AI vendor.
Reported: In four weeks the AI captured 112 missed calls and booked about $1,800 in additional services. She also describes dashboards for missed calls, bookings and ROI. No tool name is given in the show notes.

Customer emails drafted in ChatGPT, then tweaked and sent: Charcuterie by Bohemian Picnics (New York, owner-told)
Sara Rojas, co-owner and creative director of Charcuterie by Bohemian Picnics, a build-your-own charcuterie board and picnic basket shop on Seventh Avenue near Central Park in New York, with a sister event-planning business, Bohemian Picnics, on the Artificial Reality podcast
Tools: ChatGPT · Job: Draft replies to customer inquiry emails in ChatGPT, then tweak and send them yourself
What it does: She pastes what the client sent into ChatGPT and gets back a draft reply. After about a year of use, it replies in the right voice for the shop or the event business.
Reported: Self-reported: about 10 minutes per reply down to "a minute or less". The person she had hired to help with email is no longer needed: "ChatGPT has replaced it." She still reads and tweaks every reply, because answering is how she learns what a client wants. No other figures are given. Main limit: the tone drifts back to generic ("I'm just gonna do a generic one."), so she has to re-prompt it to be friendly again.

Google review replies drafted by AI, decided by the owner: Brown's Automotive (Chapel Hill, North Carolina, press)
Tonnika Haynes, second-generation owner of Brown's Automotive, a repair shop that has served Chapel Hill, North Carolina, for 45 years, profiled by Ratchet+Wrench on answering reviews and making content with AI
Tools: AI assistant (not named in the article), Google Business Profile · Job: Clear a backlog of unanswered Google reviews in minutes, then turn your best reviews into a month of social posts
What it does: Her team uses AI behind the scenes to help answer Google reviews with keyword-rich language, draft and update SOPs, prepare talking points for weekly meetings, and organize feedback and stats for employee reviews. She makes the decisions; the AI cleans up the wording. Her suggested starting point for other shops: paste the unanswered reviews into AI and ask it to 'respond with empathy' or 'respond professionally,' then use your reviews and strengths to generate social media posts.
Reported: 'It helps me get all of that stuff done much faster.' Her estimates for the starter ideas: a 50-review backlog is 'done in minutes,' and 'you can have 30 days of marketing content in 15 seconds.' No figures on ratings or bookings. The article doesn't name the AI tool.

A month of daily social posts planned with ChatGPT and Meta AI: Valley Auto Glass (Lompoc, California, press)
Ingrid and Gio Pineda of Valley Auto Glass in Lompoc, California, interviewed by AGRR Magazine
Tools: ChatGPT, Meta AI · Job: Plan a month of auto glass social posts with ChatGPT and Meta AI
What it does: ChatGPT and Meta AI suggest a month of daily post ideas, then help write the posts, polls and interactive videos. The couple also uses AI for sales and customer service training ideas and to add their logo to fun photos.
Reported: They started in January 2025 with the search "January social media advent calendar" and got monthly advent-style calendars with something different each day. They learned the approach in a Small Business Development Center webinar. No follower or sales figures are given.

One saved reply for price shoppers, plus estimate follow-ups: Rave Renovation (South Carolina, owner-told)
Brian Hensley, owner of Rave Renovation, a small roofing and renovation company in the Greenville, South Carolina area, on Bots and Bosses: AI for the Trades (a show run by his wife Jessica Hensley's marketing agency, Business Buddy)
Tools: Not named in the source · Job: Answer 'how much will this cost?' messages with one saved reply that asks the right questions, then let estimate follow-ups run
What it does: He had AI set up auto-responses: when someone messages asking what a job will cost, he pushes a button on his phone and a predetermined, professional reply goes out that asks a lot of detailed questions. He also has a follow-up system, like a CRM, that follows up with the customer repeatedly after an estimate is sent "until they buy or die": until they say yes or ask him to stop. The tools aren't named.
Reported: He says the replies help weed out tire kickers, so he wastes less time on jobs he wasn't likely to get, and that serious customers see a company that has its stuff together. No figures are given. Self-reported.

First-draft proposals from call notes and templates with Gemini: B.D.Y. CONSULT (press)
Adebukola Ajao, founder of B.D.Y. CONSULT, a boutique marketing agency she has run on her own for a decade, in Business Insider
Tools: Google Gemini, Read AI · Job: Turn discovery-call notes into a first-draft client proposal with Gemini and your own templates
What it does: Gemini goes through her discovery-call notes and recordings, work emails and Google Docs on a prospect and drafts a first proposal from templates she wrote. Read AI transcribes the calls and shows where the prospect was engaged or tuned out, so she can rework those sections before sending.
Reported: She says a proposal that used to take more than a week now takes a day or less: "If a client says no, I don't feel burned out from having spent a week doing their proposal. It's just onto the next one." Self-reported; no win-rate figures are given.

Staff schedules built in ChatGPT: BnX Burgers (Webster, Texas, press)
Tony Mistry, who previously ran Burger Nation and now owns BnX Burgers in Webster, Texas, interviewed by the Houston Chronicle
Tools: ChatGPT · Job: Build staff schedules and draft monthly financial statements from bank statements with paid ChatGPT at a burger restaurant
What it does: He uploads past schedules to the paid version of ChatGPT, enters changes in employee availability and gets updated shifts. He is also training it on bookkeeping: from bank statements it produces profit-and-loss reports, balance sheets and cash flow statements, which he corrects. He also used ChatGPT to create the look of the BnX Burgers menu.
Reported: The Chronicle says he generates updated schedules in minutes for $30 a month (the cost given in the article) instead of the $68-a-month scheduling software. Financial reports that once took at least 15 days now arrive in minutes, at a fraction of a bookkeeper's cost, though he still corrects errors. Self-reported.

Monthly P&Ls reviewed by ChatGPT acting as CFO: Vice Beer (Vancouver, Washington, press)
Michael Perozzo, co-founder and CMO of Vice Beer, a brewery in Vancouver, Washington making roughly 900 barrels a year, in Brewer Magazine
Tools: ChatGPT · Job: Use ChatGPT as a brewery's junior analyst: upload monthly P&Ls and sales data and ask it to play CFO
What it does: He uploaded monthly profit-and-loss statements into ChatGPT and asked it to review three months of data for trends. He now often asks it to take on the role of his CFO and hold him accountable on spending and payroll, and has refined his prompts over several months to get consistent reports. He also feeds it wholesale invoices, production numbers and retail sales to track sales channels and monthly KPIs and to weigh production decisions, and used it to flag clauses and questions in a long operating agreement before meeting his attorney.
Reported: He says he was "absolutely blown away" by the trends it spotted that he hadn't noticed. In one case it pointed out that seven barrels of a Saison would tie up 15 kegs for five to six months, an opportunity cost nobody had raised. It has fed into pricing discussions, sales goals and KPI tracking, but he says every recommendation still needs human judgment about the local market. He refuses to use it for recipes or major branding. No dollar figures are given.

Health procedures, handbook policies and complaint replies drafted in ChatGPT: Ted and Tami Taylor's restaurants (New Mexico, owner-told)
Ted and Tami Taylor, owners of three quick-service restaurants in Albuquerque, Rio Rancho and Santa Fe, NM
Tools: ChatGPT · Job: Draft health SOPs, HR policies, pricing and customer replies with ChatGPT across three restaurants
What it does: Ted drafts bodily-fluid incident procedures and a social-media employee policy in ChatGPT; an HR firm later reviewed the handbook and left that section unchanged. ChatGPT helps Tami reply to complaint emails and helped Ted compare menu categories, delivery markups and sandwich weight before an August price update.
Reported: Self-reported via OpenAI Academy: drafts that used to be skipped or take too long now get done; the HR firm did not change a word of the AI-drafted social policy. Exact dollar impact not given.

A dictated plan turned into a chart note and an owner-friendly discharge sheet: Hearthstone Animal Clinic (Cypress, Texas, owner-told)
Hearthstone Animal Clinic in Cypress, Texas, written by owner Dr. Steve Pelton, DVM, a solo vet who has owned the clinic since 2007
Tools: Shepherd (practice software), Custom scribe tool · Job: Dictate the plan out loud and have AI write both the chart note and an owner-friendly discharge sheet
What it does: He dictates the plan the way he'd say it to the owner in the room. The transcript becomes two documents written differently: a clinical note for the record, and a discharge for the owner at a sixth-grade reading level, warm but direct, with clear next steps and no guarantees. Owners get the discharge as a link that keeps working, so the medication schedule is still there at 11 p.m. a week later. He now runs it as his own scribe tool, which pushes notes into the clinic's practice software (Shepherd), and he still reads what lands in the record.
Reported: Self-reported: 10–15 minutes saved per discharge, every discharge. Lesson he shares: a discharge-only visit was quietly dropping the exam findings, history and assessment from the note while the tool still reported success, so he rebuilt it and now checks every note until a workflow has earned his trust. He says most of the value is available with dictation, a good prompt and copy-paste.

A small internal color-matching tool built with Claude: SMPLFD Printing & Clothing Co. (Detroit, owner-told)
Justin Fishaw, co-founder of SMPLFD Printing & Clothing Co., a Detroit streetwear store and screen-printing shop with 10 employees, on LinkedIn
Tools: Claude · Job: Build your own small internal tool with Claude, like a Pantone-to-embroidery-thread color converter for your print shop
What it does: He used Claude to build a custom Pantone-to-Madeira thread conversion tool for the shop's sales, art and production teams himself, at his desk, without hiring a developer.
Reported: "In under three hours" for "about $70 in usage credits," he wrote. He also says AI "barely touches most of what our team does today." No figures on time saved per order. Owner-told.

Old files found with Gemini and voice notes turned into an onboarding plan: Merz Apothecary (Chicago, owner-told)
Anthony Qaiyum, owner and president of Merz Apothecary, a 151-year-old family store in Chicago that also sells online and on Amazon (60+ employees), in written testimony to the U.S. House Small Business Committee
Tools: Google Gemini, Shopify (built-in AI), Google Workspace, AI voice transcription · Job: Ask AI where anything is in decades of company files and turn your own voice notes into a new-hire onboarding plan
What it does: Staff ask Gemini where something is stored in Google Workspace and what it says. Shopify's built-in AI produces on-demand sales reports. For a new National Sales Manager at KOBO, his small home-fragrance business, he talked through his ideas into AI voice transcription and writing tools, which turned them into a knowledge guide and a detailed 30-60-90-day onboarding plan.
Reported: Self-reported: sales reports now take minutes instead of hours, and the new manager told him the onboarding plan was the clearest roadmap she'd ever received when starting a job. Headcount grew about 20% (from just over 50 to more than 60) since they started using AI.

Frequently asked questions
Where can I find step-by-step AI automation ideas for my small business?
In real cases from businesses like yours. Our library has 576 sourced cases, each with the business, the source, 3 to 5 setup steps and a prompt. The 12 on this page cover the most common jobs, from missed calls to proposals.
What is the easiest AI automation to start with?
Drafting replies you already write by hand. Sara Rojas of Charcuterie by Bohemian Picnics pastes each customer email into ChatGPT, tweaks the draft and sends it, and says replies went from about 10 minutes to a minute or less. You can try it on the free plan; ChatGPT is listed at Free $0; Go $8/mo; Plus $20/mo; Pro $100/mo in our tool database.
Do I need Zapier or a developer for these?
Not for most of them. Nine of the 12 businesses here work in a chat tool (ChatGPT, Claude or Gemini) or AI built into software they already use. The missed-call texts, the estimate follow-ups and the vet's scribe tool connect to phones or practice software.
How much time do these automations save?
It depends on the job. B.D.Y. CONSULT went from more than a week per proposal to a day or less, Hearthstone Animal Clinic saves 10 to 15 minutes per discharge, and Merz Apothecary's sales reports take minutes instead of hours. These are their own figures, not promises.
What can go wrong?
Customers can dislike talking to an AI on the phone: The Blissful Clean removed its after-hours assistant after complaints. Outputs can also be quietly wrong, so read everything at first. Dr. Steve Pelton found his tool dropping exam findings while it reported success.
