What's the Best AI Tool for a Hair Salon to Handle Booking by Text? 6 Real Salons (2026)

Updated October 29, 2026 · 7 sourced examples · 6 salons and barbershops: 2 owner-told, 4 press, 0 vendor · no paid placement

Short answer

The salons in our library use two kinds of tools: a missed-call text-back assistant built for salons, or a chatbot on WhatsApp and Instagram. Two salons in Salon Today use TrueLark: Mermaid Hair Extensions near Seattle says it brought 1,188 new clients in 2023 and about $26,000 a month in extra revenue, and Renaissance Curls in Harlem says it fields 82% of incoming calls. Cindi Mausehund of Metropolitan Salon & Spa says her AI text assistant captured 112 missed calls and booked about $1,800 in extra services in four weeks. Kamal Gulati of GK Studio, a four-branch chain in India, built his own WhatsApp and Instagram chatbot and uses Claude to review its conversations. None of these sources describes AI rescheduling an existing appointment, so test that yourself before you buy.

Key takeaways
  • Our library has 6 salons and barbershops that let AI answer clients by text and book them: Mermaid Hair Extensions, Renaissance Curls, Metropolitan Salon & Spa, GK Studio, Excelsior Barber Studio and Samantha Cusick's London salons.
  • 2 are owner-told (a podcast and the founder's own guest post) and 4 come from press coverage (Salon Today twice, Diario de Mallorca and Broadsheet). We also have 4 vendor case studies on salon booking that aren't counted here.
  • The most common setup is missed-call text-back: when nobody can pick up, the AI texts the caller, answers the usual questions and books them. Mermaid, Renaissance Curls and Metropolitan all work this way.
  • The tools named are salon-specific: TrueLark (two salons, on top of Phorest and Boulevard) and CitaFlow (one barbershop). One chain built its own chatbot. Two salons don't name the vendor.
  • Feed it your real answers. Weena Jerome-Alexandre sent TrueLark her FAQs; CitaFlow's developers say it's trained on the shop's own services, prices and hours.
  • Keep a person on call. At Renaissance Curls the AI tells callers who want a human that the front desk will reach out, at Metropolitan staff can jump into any conversation, and at GK Studio the team steps in when needed.

Which AI tools do salons use to book appointments by text?

Salon-specific ones, mostly. Two salons in a Salon Today feature use TrueLark, an AI virtual receptionist: Mermaid Hair Extensions runs it alongside Phorest, and Renaissance Curls uses Boulevard for booking. Excelsior Barber Studio in Palma uses CitaFlow, which also holds the appointment book and client history, per Diario de Mallorca.

Metropolitan Salon & Spa and Samantha Cusick's London salons don't name their vendor. GK Studio is the exception: founder Kamal Gulati built the chain's own chatbot after rule-based bots couldn't handle questions asked in different ways, and he uses Claude to review its conversations and improve its answers, per his guest post. That route takes more work than most single-location salons need.

How does missed-call text-back work for a salon?

When a call goes unanswered because the front desk is with a guest, the system texts the caller right away. The AI answers the common questions and sends a booking link or books the slot. At Mermaid Hair Extensions those questions are about time, methods, how long extensions last, cost and hair damage, and the AI books a free consultation.

Cindi Mausehund of Metropolitan Salon & Spa says the text is automated but customizable, and the guest can book without waiting for a callback. In four weeks it captured 112 missed calls and booked about $1,800 in additional services, she said on the Profitable Salon Owner podcast.

Can AI fill last-minute openings and reschedule clients by text?

Filling openings, yes in one case. Mausehund says the same system can text clients about same-day or next-day openings and run "we miss you" outreach to guests who haven't visited in a while.

Rescheduling an existing appointment by text isn't described in any of these six sources. If that's what you need, ask the vendor for a live demo where you text in to move a booking, and check that the change shows up in your booking software (Phorest, Boulevard, Vagaro or whatever you use) without anyone retyping it.

What happens when a client wants to talk to a person?

Every salon here keeps a person in the loop. Weena Jerome-Alexandre of Renaissance Curls says most clients love never having to talk to someone, and for those who would rather speak to a human, "the AI can actually sense that, and tell the caller that someone from the front desk will reach out to them." She and her team can watch how the AI answers and jump in when needed.

Metropolitan's staff can jump into any conversation, and at GK Studio the team steps in only when needed.

What do you need to give the AI before it books clients?

Your real answers. Jerome-Alexandre sent TrueLark her FAQs as the system learned how her clients ask. CitaFlow's developers say the barbershop's AI is trained on its own services, prices and hours. GK Studio's chatbot shares the chain's fixed prices and recommends a service for the client's needs and budget.

Before you go live, write down the 10 questions callers ask most, your prices and your booking rules (deposits, new-client consultations, which stylist does what).

Phone and WhatsApp bookings while the barber keeps cutting: Excelsior Barber Studio (Palma, Mallorca, press)

What it does: The barbershop added CitaFlow, an AI system that answers calls, replies to WhatsApp messages and books appointments automatically, so clients can book, ask about prices and hours or check availability without an employee answering. Its developers say the AI is trained on the shop's own services, prices and hours and handles conversations in Spanish and English. The same platform also holds the appointment book, client history, staff clock-ins and day-to-day management.

Reported: "I can be eating calmly or even sleeping, and the AI keeps booking appointments for me," Prado says (our translation). "Being on the phone all the time used to limit how many cuts I could do a day; now I can cut more people and stop worrying about the phone." The article gives no booking numbers; it notes the business has grown from one shop to two in central Palma over the past year, without crediting that to the AI.

How to start this week

  1. Count what you're missing first: check your phone system or booking software for missed calls in a normal week, and note how many came after hours.
  2. Write down the 10 questions callers ask most, with your real answers, prices and booking rules.
  3. Ask your booking software whether it offers AI text-back or a partner that does (two salons here use TrueLark with Phorest and Boulevard). Get a demo where you text in to book, ask a price question and try to move an appointment.
  4. Turn it on for missed and after-hours calls only at first, and read every conversation for the first two weeks.
  5. Decide when it hands off to a person, the way Renaissance Curls does, and who on the team watches the inbox (our suggestion, based on these cases).
