He uploads past schedules to the paid version of ChatGPT, enters changes in employee availability and gets updated shifts. He is also training it on bookkeeping: from bank statements it produces profit-and-loss reports, balance sheets and cash flow statements, which he corrects. How to set it up yourself
- What BnX Burgers used: the paid version of ChatGPT, given past schedules plus availability changes to build new shifts, and bank statements to draft P&L, balance sheet and cash flow reports that he then corrects.
- In ChatGPT, select New project in the sidebar, name it "Schedules" and paste the prompt below under ••• > Project settings. Upload two or three recent schedules (spreadsheet or screenshot) and a list of each person's role, max hours and days they can't work.
- Each week, open a new chat in the project, type the changes (time off, new hires, busy nights) and ask for next week's schedule as a table. Check it against your labor budget and any minor-labor or overtime rules before you post it.
- For bookkeeping, use a separate project: upload a month of bank statement exports with account numbers removed and ask for a draft P&L. Compare it with your accounting software or your accountant's figures for the first few months and fix miscategorized lines before relying on it.
