How Can an HVAC Business Use AI to Answer After-Hours Calls and Book Service Appointments? 9 Real Companies (2026)
Updated October 22, 2026 · 9 sourced examples · 2 vendor customer stories labeled · no paid placement
The HVAC and plumbing companies in our library put an AI phone agent on the calls nobody can pick up: after 5 p.m., weekends, and rushes when every line rings at once. The agent asks what's wrong and books the job straight into the field-service software. Air One in Colton, California swapped an answering service that couldn't book jobs or take calls in Spanish for ServiceTitan's AI agent, and says nearly every after-hours lead from March to mid-June turned into a booked call (a ServiceTitan customer story). Good Guy Plumbing's calls after 5 p.m. used to go to voicemail; now Housecall Pro's AI voice agent answers, triages and books. The catch is emergencies: Air One's agent offered next-day slots for plumbing emergencies until the shop rebuilt its job types around urgency, and one roofer switched AI after-hours answering off after poor customer feedback.
- Our library has 9 trades companies using AI for after-hours or overflow calls: 5 HVAC or plumbing companies (Air One, Good Guy Plumbing, Tri-City Home Solutions, Bill Joplin's, Aaron Services) and 4 other trades (Freedom Pest Control, The Pest Rangers, Rave Renovation, Red Dog's Roofing).
- 3 are owner-told, 4 come from press coverage and 2 (Air One and Bill Joplin's) are ServiceTitan customer stories, so those figures come from the vendor.
- The pattern: the AI answers, asks what's wrong and books the job into the schedule, with a quick route to a person for callers who want one.
- Set up your emergency job types before go-live. Air One's agent booked plumbing emergencies for the next day until the shop fixed this.
- Not every customer likes it. Red Dog's Roofing asked its answering service to stop using AI after poor feedback, and Good Guy Plumbing's owner says the impact is still tough to measure.

What do these 9 companies actually do with AI on after-hours calls?
Each company links to its full case, with steps and a copy-paste prompt. Results are as told to the source, not promises. Vendor customer stories are labeled.
| Company | What the AI does | Tool named in the source | What they reported |
|---|---|---|---|
| Air One, Colton, California (vendor case study: ServiceTitan) | Answers after-hours and weekend calls in English and Spanish and books jobs straight into ServiceTitan. Urgent jobs, like a water leak, can be booked that night into after-hours technician shifts. A second agent covers daytime overflow. | ServiceTitan AI Virtual Agent | Nearly every after-hours lead from March to mid-June converted to a booked call, by its own call tracking, versus a rough 30% summer estimate with the old answering service (the story notes the two figures don't measure quite the same thing). Vendor story. |
| Good Guy Plumbing, Torrance, California (press) | Answers 24/7, triages the problem and books the job. Smart scheduling suggests the technician, time slot and route. | Housecall Pro AI voice agent | Calls after 5 p.m. used to go to voicemail. The three office staff free up about 10+ hours a week, per Contractor Magazine. The owner says the impact is still a bit tough to measure directly. |
| Tri-City Home Solutions, Milford, Connecticut (owner) | An AI agent named Aria takes callers who opt out of the queue, then any call not answered within a set number of seconds. | ServiceTitan Virtual Agent | In the first month: revenue from booked calls up 186%, booking rate 65.6% (up 26 points), more than 400 calls handled. Self-reported on a podcast. |
| Bill Joplin's Air Conditioning and Heating, Dallas-Fort Worth (vendor case study: ServiceTitan) | An AI agent named Karen books and reschedules maintenance calls inside ServiceTitan and escalates to a CSR when needed. | ServiceTitan AI Virtual Agent | 1,300+ calls in three and a half months; over 90% of calls it answered ended in a booked job, 72% with no human. Setup took about 20 minutes. Vendor story. |
| Aaron Services, Georgia (press) | A website chat assistant answers homeowner plumbing questions 24/7 from the company's own blog, gives safe first steps and books a pro when the job is beyond DIY. | Chatbase, Cal.com | Less time on basic calls and more conversions from unsure customers, per managers in The ACHR News. Usage spiked after hours. No booking numbers given. |
| Freedom Pest Control (press) | An AI rep answers after-hours and overflow calls immediately, transcribes them and writes the call summary. | Not named (Sellify for texts, ChatGPT for emails) | Replaced the human-staffed answering service, per Pest Control Technology. No call figures given. |
| The Pest Rangers, Hanover Township, Pennsylvania (press) | An AI answering service takes after-hours and overflow calls, can sell and schedule services, and makes it easy to transfer to a person. | Not named | No call or sales figures. Some internal calls got summarized where team members could see them, so the owner checked security with his attorneys. |
| Rave Renovation, Greenville, South Carolina area (owner) | An AI receptionist named Grace takes the caller's name, address and problem, asks whether a leak is active, books from his calendar and emails and texts him so he can call back on an emergency. | Not named (AI wrote the script) | He says he no longer misses calls he wants and it screens out scam calls. He still calls every customer back. |
| Red Dog's Roofing, New England and Florida (owner) | Its after-hours answering service started using AI. | Not named | Customers didn't give good feedback, so the company asked the service to stop using AI for now. The counterweight in this list. |
What happens to after-hours HVAC calls without AI?
At Air One, an HVAC, plumbing and electrical shop of about 12 people in Colton, California, calls after 5 p.m. and on weekends went to a third-party answering service. It often picked up two to three minutes into the ring, couldn't book into the scheduling software and couldn't take calls in Spanish. By the morning callback, many callers had hired someone else. CSR and dispatcher Julissa Moulder estimates the old setup converted around 30% of after-hours calls in summer, per a ServiceTitan customer story.
At Good Guy Plumbing in Torrance, California (12 employees, eight vans), calls after 5 p.m. rolled to voicemail and were lost, per Contractor Magazine. Freedom Pest Control paid a human-staffed answering service for after-hours and overflow calls before switching to an AI rep.
How does the AI answer the call and book the service appointment?
In these cases the AI agent lives inside, or connects to, the field-service software, so it can book a real slot instead of taking a message. Air One's agent, which the office named Jenny, answers in English and Spanish and books jobs straight into ServiceTitan. Good Guy Plumbing's Housecall Pro voice agent triages the problem and books the job, and its smart scheduling suggests the technician, time slot and route.
A smaller shop can do it without a big platform. Brian Hensley, who runs Rave Renovation with no office manager, had AI write a script and set up a receptionist named Grace on a third-party site in about two hours, then spent a couple of days on test calls and tweaks. Grace asks for the caller's name and address, asks whether a leak is active, books from his calendar and sends him an email and a text.
Can an AI agent handle emergency calls like a water leak?
Only if you tell it which jobs are urgent. Air One's urgent job types, like a water leak, can be booked that night into after-hours technician shifts. But early on, the agent offered next-day slots for plumbing emergencies until the shop rebuilt its job types around urgency, per the ServiceTitan story.
Rave Renovation's Grace tries to judge how severe a leak is and texts the owner so he can call back right away. As a suggestion, list your emergency job types, after-hours shifts and on-call phone number before you switch an agent on, then test it with a few made-up emergency calls.
Does the same agent help during the day, when every line is busy?
Yes, and that's where the biggest numbers in our library come from. At Tri-City Home Solutions in Milford, Connecticut, callers in the queue could choose the AI agent Aria, and later any call not answered within a set number of seconds went to her. CEO Amanda Root reported revenue from booked calls up 186% and a 65.6% booking rate in the first month, on the Mastering ServiceTitan podcast. Her framing: sell one job off of it and you make your money back.
At Bill Joplin's in Dallas-Fort Worth, a maintenance text to about 400 customers flooded the phones. ServiceTitan's agent Karen handled 1,300+ calls in three and a half months, and over 90% of the calls it answered ended in a booked job, per a ServiceTitan customer story. Air One also runs a second agent for daytime overflow.
What about callers who just have a question at 2 a.m.?
Aaron Services, a Georgia plumbing, heating and cooling contractor, put a chat assistant on its website that answers homeowner questions from the company's own blog, gives safe first steps and books a pro when the job is beyond DIY. Usage spiked after hours, and Sara Adams says she reviewed at least a thousand intents for accuracy and safety, per The ACHR News. It first confused broad tankless-heater questions with specific error codes and needed more training.
When should a person answer instead of AI?
When customers say so. Red Dog's Roofing's after-hours answering service started using AI, customers didn't give good feedback, and the company asked the service to stop for now, per its CEO's RoofersCoffeeShop column.
Keep a quick route to a person. Bill Joplin's agent escalates to a CSR, and The Pest Rangers' answering service makes it easy to transfer to an agent. The Pest Rangers also found that some internal staff calls were summarized where team members could see them, so the owner checked what security he needed with his attorneys. Rave Renovation's owner still calls every customer back after Grace takes the call.

After-hours and weekend calls in English and Spanish: Air One (Colton, CA, vendor case study: ServiceTitan)
Julissa Moulder, CSR/dispatcher at Air One Air Conditioning, Heating, Plumbing & Electric, a family business of about 12 employees in Colton, California, in a ServiceTitan customer story
Tools: ServiceTitan AI Virtual Agent · Job: Let an AI virtual agent book after-hours and weekend HVAC calls in English and Spanish instead of an answering service
What it does: ServiceTitan's AI Virtual Agent, which the office named Jenny, answers after-hours and weekend calls in English and Spanish and books jobs straight into ServiceTitan, with a second agent for daytime overflow. Urgent job types, like a water leak, can be booked that night into after-hours technician shifts.
Reported: Air One went live in January. By its internal call tracking (non-leads such as marketing calls removed first), nearly every after-hours lead between March and mid-June converted to a booked call; the story notes that figure and the old ~30% estimate don't cover the same period or measure quite the same thing. Early on the agent offered next-day slots for plumbing emergencies until the shop rebuilt its job types around urgency. Moulder no longer starts the day with a pile of overnight callbacks.

Tools: ServiceTitan Virtual Agent · Job: Turn on a ServiceTitan voice agent named Aria to catch overflow plumbing and HVAC calls
What it does: Root’s team turned on ServiceTitan’s Virtual Agent (named Aria via an internal contest). The team stress-tested the bot before go-live and Root coached it during a surprise full-list email blast.
Reported: In the first month tracked on the Mastering ServiceTitan podcast: revenue from booked calls up 186%, booking rate 65.6% (up 26 points), and the agent handled more than 400 calls. Root’s framing: sell one job off of it and you make your money back.

A promo-text call rush booked by an AI agent: Bill Joplin's (Dallas-Fort Worth, vendor case study: ServiceTitan)
Randi Thompson, service operations manager at Bill Joplin's Air Conditioning and Heating (Dallas-Fort Worth), as told in a ServiceTitan customer story
Tools: ServiceTitan AI Virtual Agent · Job: Let an AI virtual agent named Karen book HVAC maintenance calls when a promo text floods the phones
What it does: ServiceTitan's AI Virtual Agent, which the team named Karen, books and reschedules maintenance calls directly inside ServiceTitan and escalates to a human CSR when needed. Callers press 1 to talk to Karen instead of a person.
Reported: 1,300+ calls handled in three and a half months; over 90% of the calls Karen answered ended in a booked job, 72% with zero human intervention. Thompson says setup took about 20 minutes, and the team kept up after going from five CSRs to four.

Website plumbing questions at 2 a.m.: Aaron Services (Georgia, press)
Aaron Services, a Georgia plumbing, heating and cooling contractor, with Sara Adams of Aaron Services interviewed by The ACHR News
Tools: Chatbase (website chat assistant), Cal.com (booking), Alexa Skill Blueprints (voice version) · Job: Answer homeowners' plumbing questions around the clock with an AI assistant built from your own blog, with hard safety stops
What it does: A website chat assistant answers homeowner plumbing questions 24/7 from the company's own blog, gives safe first steps, and books a pro when the job is beyond DIY. An Alexa version answers the common questions by voice.
Reported: Managers say it has cut time spent on basic and exploratory calls and raised conversions from uncertain customers; usage spiked before Thanksgiving (sink-clog questions) and after hours. Adams says she personally reviewed at least a thousand intents for accuracy and safety. Early lesson: it confused broad tankless-heater questions with specific error codes and needed more training. Out-of-area visitors also use it, which helps SEO. No booking numbers given.

Answering service replaced by an AI rep: Freedom Pest Control (press)
Tom Drapeau, president of Freedom Pest Control (Merrimack), in Pest Control Technology
Tools: ChatGPT, Sellify AI, Trainual · Job: Replace the after-hours answering service with an AI phone rep, text past customers about add-on services, and draft review replies with ChatGPT
What it does: An AI customer service rep answers after-hours and overflow calls immediately, transcribes them and writes the call summary. Sellify sends AI-written texts that start sales conversations with existing customers, and ChatGPT drafts email campaigns, Google review replies and vendor negotiation emails.
Reported: The AI rep replaced the human-staffed answering service. An AI text campaign to 1,000 customers, often reached in a single day, closed at 2.5% (about 25 sales). Drapeau says dropping manual call answering, faster lead follow-up, better ad spend and streamlined scheduling all lowered costs, while faster response and the sales campaigns raised revenue. He adds that time saved is hard to quantify.

After-hours and overflow AI answering with an easy handoff: The Pest Rangers (Pennsylvania, press)
Jeff King, president of The Pest Rangers, a pest control company headquartered in Hanover Township, Pennsylvania, in PestWorld, the National Pest Management Association's magazine
Tools: Not named in the source · Job: Let an AI answering service take after-hours and overflow calls with an easy handoff to a person, and get a daily digest of every call
What it does: King uses an AI-powered call answering service for after-hours calls and overflow. It can sell and schedule services, and for customers who prefer a person it makes it easy to transfer to an agent. The company is also beta-testing software from its phone provider that works in the background of every call, examining conversations, describing customer insights and summarizing CSR performance, with a daily digest of how many calls there were and what was sold. Neither product is named.
Reported: King says the call-analysis tool keeps getting better; no call or sales figures are given. A lesson he learned the hard way: some internal personnel calls were summarized and could have been seen by team members, so he checked with his attorneys about the security he needed. A Gmail-linked AI email tool was still in beta testing. Self-reported.

An AI receptionist that asks about the leak and texts the owner: Rave Renovation (South Carolina, owner)
Brian Hensley, owner of Rave Renovation, a small roofing and renovation company in the Greenville, South Carolina area, on Bots and Bosses: AI for the Trades (a show run by his wife Jessica Hensley's marketing agency, Business Buddy)
Tools: Not named in the source · Job: Have AI write the script for an AI receptionist that asks about the leak, books the visit and texts you the details
What it does: He built an AI receptionist he named Grace. He had AI write him a script, then set it up on a third-party site that builds receptionists (not named), on a Sunday afternoon: about two hours for the script and the basics, then a couple of days of test calls and a lot of tweaks. Grace gets the caller's name and address and what's going on, asks whether a leak is active, tries to judge how severe it is, and books an appointment from his calendar; he gets an email and a text so he can call back right away on an emergency.
Reported: He says he no longer misses calls he wants, Grace screens out tire kickers and scam calls, and it saves him the cost of an office manager. He still calls every customer back after they talk to Grace. Self-reported; it's one tool among the others he uses, not where he started.

The counterweight, AI after-hours answering switched off: Red Dog's Roofing (owner)
Patrick Cochran, CEO of Red Dog's Roofing, a roofing and siding company in New England and Florida, in his RoofersCoffeeShop influencer column
Tools: Not named in the source · Job: Tried an AI Messenger responder and AI after-hours answering, and switched both off when they didn't work for customers
What it does: The company tried an AI response tool on Facebook Messenger; it was "very glitchy", so it didn't keep using it. Its after-hours answering service started using AI, but customers did not give good feedback, so the company asked the service to stop using it for now. At the time AI was used only minimally, in marketing, to make research faster, and not in sales or production.
Reported: After those two tries the company stopped looking into AI tools for a while; Cochran wrote that he still likes human interaction. In a February 2025 RoofersCoffeeShop column he added that the company had since formed an AI committee to vet every AI tool it uses, uses AI to speed up tasks and generate ideas, and keeps its human touch points with customers. Self-reported.

How to start this week
- Pull last month's calls after 5 p.m., on weekends and during rushes, and count how many went to voicemail or an answering service that couldn't book.
- Write down your job types, which ones are emergencies, your after-hours shifts and who gets the emergency text.
- Turn on the AI agent inside your field-service software (or connect one to your calendar), start with after-hours only, and add a clear way to reach a person.
- Make a few test calls yourself, including a water leak and a caller who asks for a human, and fix anything it books wrong.
- After a month, compare booked after-hours calls with before, and listen to a sample of calls (our suggestion, based on these cases).
Frequently asked questions
Can AI answer after-hours calls for an HVAC company?
Yes. In our library, Air One and Good Guy Plumbing use AI phone agents in ServiceTitan and Housecall Pro to answer calls after 5 p.m. and on weekends, ask what's wrong and book the job.
Can the AI book service appointments directly?
When it runs inside or connects to your scheduling software, yes. Air One's agent books straight into ServiceTitan, and Good Guy Plumbing's Housecall Pro agent books the job and suggests the technician and time slot.
What about emergency calls?
Set up emergency job types first. Air One's urgent jobs, like a water leak, get booked that night into after-hours shifts, but early on its agent offered next-day slots for plumbing emergencies until the shop rebuilt its job types.
Does an AI agent answer calls in Spanish?
Air One's ServiceTitan agent answers in English and Spanish. Its old answering service couldn't take calls in Spanish.
How much does it cost?
None of the HVAC or plumbing companies here shared their cost. Housecall Pro starts at $59/mo billed annually in our tool database, but we haven't checked which plan includes the AI voice agent. We haven't price-checked ServiceTitan's AI Virtual Agent.
Do customers mind talking to AI?
Some do. Red Dog's Roofing asked its answering service to stop using AI after poor customer feedback. The companies here keep a quick route to a person.
