Draft replies to customer inquiry emails in ChatGPT, then tweak and send them yourself

who Sara Rojas, co-owner and creative director of Charcuterie by Bohemian Picnics, a build-your-own charcuterie board and picnic basket shop on Seventh Avenue near Central Park in New York, with a sister event-planning business, Bohemian Picnics, on the Artificial Reality podcast

What it does

She pastes what the client sent into ChatGPT and gets back a draft reply. After about a year of use, it replies in the right voice for the shop or the event business.

The problem

Sara answers every customer inquiry for both businesses herself, and some mornings she has around 94 emails. She calls herself an overthinker, so each reply took about 10 minutes, and the year before she had hired someone to help with email.

What happened

Self-reported: about 10 minutes per reply down to "a minute or less". The person she had hired to help with email is no longer needed: "ChatGPT has replaced it." She still reads and tweaks every reply, because answering is how she learns what a client wants. No other figures are given. Main limit: the tone drifts back to generic ("I'm just gonna do a generic one."), so she has to re-prompt it to be friendly again.

How to set it up yourself

  1. What Charcuterie by Bohemian Picnics' co-owner did: she pasted each client email into ChatGPT, got a draft reply, tweaked it and sent it herself. Over a year, ChatGPT learned to tell her two businesses apart.
  2. DIY path: write a short note with your business names, what each one sells, your prices or packages, and your tone (for example, warm and friendly, not robotic). Keep it in a document you can paste.
  3. DIY path: in the ChatGPT free plan, paste the prompt below with your note and the client's email. Ask for a draft reply.
  4. Read every draft before it goes out. Fix facts, dates and prices, add anything only you know, and send it from your own inbox.
  5. Suggestion: if the tone drifts back to generic, save your tone rules as standing instructions in your ChatGPT account settings, or keep the work in one ChatGPT project, so each new chat starts from the same rules.

Copy-paste prompt

You help me answer customer inquiries for {BUSINESS_NAME}, which sells {WHAT_YOU_SELL} in {CITY}. My tone: {TONE_RULES, e.g. warm, friendly, short, never robotic}. Facts you can use: {PACKAGES_PRICES_AND_POLICIES}. Here is the client's email: {CLIENT_EMAIL}. Draft a reply that answers each question they asked, asks for any details I need (date, guest count, budget), and ends with a clear next step. Do not invent prices or availability. Mark anything you are unsure of with [CHECK].
