ChatGPT prompts for contractors and home service businesses: 18 copy-paste prompts from real roofers, handymen, landscapers, electricians and cleaners (2026)

Updated October 21, 2026 · 18 sourced examples · one copy-paste prompt per job · no paid placement

Short answer

For contractors and home service owners, the ChatGPT prompts that pay off are the ones that check or speed up work you already do: an estimate checked before it goes out, a walkthrough turned into a scope, job costs worked out from your own data, SOPs and training built from your notes, and customer messages and reviews in your voice. Below are 18 copy-paste prompts, each tied to a named business that does that job: a handyman who runs estimates past ChatGPT and is now "coming out on top and not coming up short" (Handyman Timm), a lawn care owner whose job-cost math "would have taken us several days" and took ChatGPT 10 minutes (Shades of Green), a chemical-application training program built "in 10 minutes" and state-approved (Taussig Landscape) and a "4-hour job that I was dreading" done in 30 minutes from a photo (Handyman Timm). Fill in the {PLACEHOLDERS}, paste, and check every fact, price and code item before it goes out.

Key takeaways
  • Use it as a second pair of eyes, not the first draft of everything. Craig Timm runs finished estimates past it to catch missed parts and markup (case), and Centennial Roofing checks ChatGPT's review replies against Gemini's (case).
  • Feed it your own material. Cory Overman uploaded production data from his CRM (case), Derek Taussig attached the state rules and his own manuals (case), and Lachlan Walker loaded his operations manuals into a custom GPT (case).
  • Keep your own voice. Cody Jackson writes the message himself and asks ChatGPT to "make this a little softer" (case); Benjamin Schneider still writes a post himself every couple of weeks (case).
  • Talk instead of type. Scott Parker talks to ChatGPT like an office assistant taking notes, then has it break the ideas into documents (case); J.R. Crowell's team records walkthroughs instead of taking notes (case).

What ChatGPT prompts help contractors with estimates and proposals?

Four businesses use it around the quote. Craig Timm runs each finished estimate through ChatGPT; it points out what he forgets, like markup or a left-out part, and on the estimates he has tested it always adds about 30% to certain areas, so he has started marking up materials. J.R. Crowell's team wears a Plaud recording pin on remodel walkthroughs and feeds the dictation to a chatbot he built around the International Residential Code, which builds the scope and the material list. Monarch Landscape Management had ChatGPT write the benefits of services like turf aeration once, as a template for every proposal. Emily May photographs the customer's house and asks ChatGPT which color in the shingle line she installs fits best, then turns her phone around to show them.

Run each estimate past ChatGPT before you send it to catch missed parts and markup

who Craig Timm, owner of Handyman Timm, a one-man handyman business in Lake County, California, on The Handyman Roadshow podcast

Check this handyman estimate before I send it. Job: {SHORT DESCRIPTION}. Line items: {LINE ITEMS WITH HOURS, MATERIALS AND PRICES}. My rules are in the project instructions. List: 1) parts, supplies or steps that are probably missing for this job, 2) where my labor hours look low for the work described, 3) whether markup, trip fees or disposal are left out, 4) anything a customer might misunderstand. Show the math for any change and don't change my hourly rate.

Reported: He says that on the jobs where he has tested it, he's "coming out on top and not coming up short like I have been", and that it helps him grow. He treats it as a trial, not a final answer. Self-reported.

Wear an AI recorder on remodel walkthroughs and have a chatbot turn the dictation into a code-based scope and quote

who J.R. Crowell, co-founder of Steady Home Maintenance, a handyman, maintenance and light-remodel company in Flowood, Mississippi (about eight full-time employees), on the Handyman Success Podcast

This is the transcript of a remodel walkthrough at {ADDRESS OR JOB NAME} for {COMPANY NAME} in {CITY/COUNTY}, where {CODE EDITION, e.g. the 2021 IRC with local amendments} applies. Using my scope template: 1) list every measurement I called out, by room, 2) write the scope of work in order, 3) give a material takeoff with quantities (framing, hangers, fasteners, drywall, trim), 4) flag anything that needs to change to meet code, with the section I should check, and 5) list questions to ask the homeowner. Mark anything you inferred rather than heard as [CHECK].

Reported: He calls the scope chatbot "nuts" and calls recording yourself for SOPs "the cheat code"; on the show, the payoff described is how many more estimates a team could do in a day, with no numbers given. The company is also adding AI to lead response through Hatch, which he says hadn't really started doing its thing yet. Self-reported.

Have ChatGPT write the benefits section for each service once, and reuse it in every proposal

who Alicia Abell of Monarch Landscape Management, a commercial landscape maintenance company in Houston, Texas, with about 150 team members, in Lawn & Landscape magazine

Write a standard proposal section for {SERVICE, e.g. core aeration} from {COMPANY NAME}, a commercial landscape maintenance company in {CITY}, for property managers. Use these facts only: {WHAT IT IS, HOW WE DO IT, TIMING, WHAT THEY'LL SEE AFTERWARD}. Structure: What it is (2 sentences), How it works (3 bullet points), What to expect (before, during, after) and Why now (1 sentence). Plain language, no hype, no claims I didn't give you.

Reported: No figures are tied to the templates. Company-reported to the magazine. Monarch has not put AI on its phones: people on staff answer, and someone is always on call for off-hours emergencies.

Photograph the customer's house and ask ChatGPT which shingle color fits, then turn the phone around and show them

who Emily May, owner of M&M Roofing, a residential and commercial roofing company in Lufkin, Texas, on ProLine's Big Roofs Podcast

Here is a photo of a customer's house. We install {SHINGLE LINE, e.g. Atlas Pinnacle Pristine}. Which three colors in that line would look best with this house's brick or siding, trim and front door, and why, in one sentence each? Then show the house with the roof changed to your top pick, keeping everything else in the photo the same.

Reported: She says you don't have to get off and go to the manufacturer's website or do any of that. No close-rate figures are given. Self-reported on the podcast.

What ChatGPT prompts help with job costing, budgets and invoices?

Cory Overman uploaded a season of production data from his CRM, and ChatGPT worked out the average cost of a single and a double aeration pass and the seed needed per square foot. Cory Shorette set up a paid ChatGPT project told "You are my CFO", loaded with the company's financials, which helped build the 2026 budget; he says owners usually know the right decision, "but it's nice to have a double-check and backup of your thesis." Morgan Sterling used ChatGPT to help build a script that pulls subcontractor invoices from email, reads them, identifies the job and files them, and reports saving about 5–6 hours a week.

Upload your CRM production data to ChatGPT to work out what an aeration and overseeding job really costs

who Cory Overman, owner of Shades of Green, a lawn care company in Lafayette, Indiana, in Lawn & Landscape magazine

Attached is a season of {SERVICE, e.g. aeration and overseeding} jobs from {COMPANY NAME} (no customer names): lawn size in square feet, crew hours, number of passes, seed and material used, and price charged. 1) Work out average labor and material cost per 1,000 sq ft for a single pass and for a double pass. 2) Work out seed used per 1,000 sq ft. 3) Flag rows that look like data-entry mistakes. Show the formulas you used so I can check them in Excel. Don't suggest a price; I'll add overhead and margin myself.

Reported: "It would have taken us several days and many manhours to do this manually and ChatGPT figured it out in 10 minutes," he told the magazine. Self-reported; the prices he set aren't given.

Set up a ChatGPT project as a virtual CFO that builds the yearly budget and pressure-tests its own assumptions

who Cory Shorette, vice president of Landscape Endeavors (Colorado Springs, Colorado), in Lawn & Landscape's 2026 Tech Report

You are the CFO of {COMPANY NAME}, a {TYPE OF LANDSCAPING / SERVICE} company in {CITY} with about {REVENUE} revenue and {NUMBER} crews. Work only from the uploaded financials. For every answer: 1) show the calculation in a table, 2) pressure-test it by checking it against the uploaded actuals, 3) list every assumption you made and what number would confirm it, 4) say plainly if the data isn't enough. Never invent a figure. Task: {TASK, e.g. BUILD NEXT YEAR'S BUDGET WITH OVERHEAD LINE ITEMS}

Reported: Per Shorette, it helped him build the 2026 budget with detailed overhead line items the company can stick to, and it's set up to assist with M&A questions. He says owners usually know the right decision, "but it's nice to have a double-check and backup of your thesis." Managers also use ChatGPT for professional emails about difficult situations. No dollar figures are published.

Automate subcontractor invoice filing and rebuild local SEO pages with ChatGPT

who Morgan Sterling, owner of Beach Cities Builder, a general contracting firm in Hermosa Beach, CA

Read this subcontractor invoice and return JSON: vendor, invoice_number, invoice_date, due_date, amount_total, job_name_or_address, description (one line), confidence (high/medium/low).
Match the job to one of these active jobs: {JOB LIST}. If no match, set job_name_or_address to 'UNMATCHED'.
Invoice text: """{INVOICE TEXT}"""

Reported: Inbound contacts up about 25%, an estimated additional six figures in gross revenue per year, and an invoice workflow that is effectively 100% accurate and saves roughly 5–6 hours a week (self-reported via OpenAI Academy).

What ChatGPT prompts help in the field?

Craig Timm photographed loose thermostat wires and ChatGPT gave him the model number and wiring schematic, asked for a photo of the heating unit, then told him where every wire went; he uses the same photo search for faucet parts and parts for older houses. Toby Mitchell replaced his safety software with ChatGPT-written toolbox talks about what crews actually face, such as driving in the fog, after the software kept suggesting topics like hypothermia in a California July.

Photograph a part or a mess of wires on the job and ask ChatGPT for the model, part number and steps

who Craig Timm, owner of Handyman Timm, a one-man handyman business in Lake County, California, on The Handyman Roadshow podcast

I'm a handyman on a job. Attached are photos of {WHAT IT IS, e.g. a bathroom faucet whose handle won't come off / thermostat wires that were disconnected}. Tell me: 1) the likely brand and model and how sure you are, 2) the part I probably need with its part number, 3) step-by-step how to do the repair, with any safety step first, and 4) what photo or label you'd need to be more certain. If you're guessing, say so.

Reported: He says the thermostat was running within five minutes, and the faucet, "a 4-hour job that I was dreading", took 30 minutes. Finding parts no longer means scrolling the computer all night. On the show, he and the host agree that AI sometimes gives wrong information, so you research further rather than taking it as the final answer. Self-reported.

Write toolbox talks with ChatGPT about the hazards your crews actually face instead of a safety software's generic topics

who Toby Mitchell of Classic Electric and Consulting, an electrical contractor in Nipomo, California, in Electrical Contractor magazine

Write a five-minute toolbox talk for an electrical crew at {COMPANY NAME} in {AREA}. This week: {WHAT'S HAPPENING, e.g. fog on the morning drive, attic work in the heat, a near-miss on a ladder, a new apprentice}. Give 4 to 6 short talking points in plain language tied to that situation, one real-world example, and 3 questions to ask the crew. Don't cite specific OSHA or NEC section numbers; I'll add those myself after checking them.

Reported: Mitchell says a byproduct was more participation in safety meetings, because the topics apply to the crews' day-to-day work. No time or cost figures are given. Self-reported to the magazine.

What ChatGPT prompts help write SOPs, training programs and manuals?

Scott Parker talks his ideas out to ChatGPT and has it break them into SOPs, and had ChatGPT and Claude evaluate the employee handbook an HR company helped him write. Derek Taussig gave ChatGPT his state's rules and his training manuals and built the chemical-application training program he had put off for years. Lachlan Walker built a custom GPT on ChatGPT Plus with his operations manuals and contracts; it writes each new site's operations manual.

Have ChatGPT and Claude turn your notes into SOPs and check your employee handbook for gaps

who Scott Parker, founder of Rhino Electric Services, a residential electrical company in Louisiana with about six employees, on the Home Service Studs (Builders Bible) podcast

1) Turn what I just said into a standard operating procedure for {TASK, e.g. a residential service call} at {COMPANY NAME}: purpose, who does it, tools and materials, numbered steps, safety checks, and what 'done' looks like. Use only what I said and mark anything I left out as [ASK]. 2) For the attached employee handbook: list topics a small electrical contractor's handbook usually covers that this one is missing or unclear on (with the page), and anything that contradicts itself. Don't rewrite it and don't give legal conclusions.

Reported: He describes this as the typical uses so far; no time or cost figures are given. Next on his list, not live yet: AI follow-up on estimates, and an AI pass over the company's database of more than 3,000 customers to text or email them about the new Rhino Club membership. Self-reported.

who Derek Taussig, owner of Taussig Landscape, a landscape maintenance company in Manhattan, Kansas, in Lawn & Landscape's 2025 Tech Report

Attached are {STATE}'s rules for {CATEGORY, e.g. commercial ornamental and turf} pesticide applicator training, our product labels and our current training manual at {COMPANY NAME}. Build a training program outline that covers every requirement in the rules: modules, learning goals, hands-on checks and a short quiz for each module. Cite the rule section each module covers. Use only what's in the attached documents, and list any requirement you couldn't find covered.

Reported: "I copied, pasted and built a beautiful program in 10 minutes and it is state-approved," he told the magazine. Self-reported.

Load your operations manuals and site details into a ChatGPT assistant so each new cleaning site gets its own operations manual

who Lachlan Walker, founder and director of Walkers Cleaning, a commercial cleaning company in Sydney, Australia, in a post on his LinkedIn

Using our master operations manual and the example site manual in this project, write the operations manual for a new site for {COMPANY NAME}. Site details: {SITE TYPE, SIZE, AREAS, CLEANING FREQUENCY, SHIFT TIMES, SPECIAL REQUIREMENTS}. Include: scope by area and frequency, shift plan, supplies, safety and access procedures (leave codes as {CODE}), quality checks and who to call. Follow our manual's format; mark anything the site details don't tell you as [ASK SUPERVISOR].

Reported: He rates operations "Brilliant" ("site-specific operation manuals are now created instantly"), finance "Decent" (useful insight and a forecast, but his bookkeeper does far better and he won't base important decisions on it) and marketing "Bad" (it reads as obviously AI-written). It took a lot of uploading and training, and he says it would be irresponsible to let it run the business. Owner-told.

What ChatGPT prompts help with customer messages and reviews?

Cody Jackson writes his own message and asks ChatGPT to soften it when it sounds too direct. Dallas Sunrise Maids uses ChatGPT for client complaints, schedule change requests and basic emails, which helps office staff whose first language isn't English. Shades of Green's technicians send pre-written texts, which ChatGPT helps write, when they spot a lawn problem like dollar spot. Centennial Roofing drafts Google review replies with ChatGPT and checks them against Gemini's.

Write the message yourself, then ask ChatGPT to make it a little softer

who Cody Jackson, founder and owner of Black Bear Roofing and Exteriors in the Springfield, Ohio area (a team of almost 15), on the Builders Bible podcast

Here's a message I wrote to {WHO, e.g. a homeowner / a crew lead / a supplier}: {MESSAGE}. I'm a direct person and I don't want this to come across as harsh. Make it a little softer and friendlier, keep it about the same length, keep every fact, date and price exactly as written, and don't add anything I didn't say. Then list what you changed.

Reported: He says it keeps the personal touch because he still wrote it, and warns that owners who let AI write their contracts and emails lose that touch. No figures given. Self-reported.

If it's a schedule change, confirm the new date only if it's in this list of open slots: {OPEN SLOTS}. Under 120 words. Also give me the same reply in {STAFF LANGUAGE} so I can check it.

Reported: The company says that, as the technology improved, it has been able to communicate with customers in a more authentic voice over time, which has been especially helpful for office staff whose first language isn't English. No figures are given. Company-told.

In under 320 characters: say what we saw in plain words, why it happens this time of year, what the customer can do (watering, mowing height), and that we offer {SERVICE} if they'd like help, with no pressure. Friendly, not salesy. Don't promise results.

What ChatGPT prompts work for contractor marketing?

Benjamin Schneider asks ChatGPT for a Facebook post about one service, posts it with a photo of his work on his page and in local groups, and spends no more than an hour a week on marketing. Rebecca Stubbs gets newsletter topics and a basic framework from ChatGPT and rewrites them for Jonny Nichols Landscape Maintenance's customers.

Write the week's Facebook posts with ChatGPT and keep one post every couple of weeks in your own words

who Benjamin Schneider, owner of The Wyoming Handyman in Cheyenne, Wyoming, on The Handyman Success Podcast

Write a Facebook post for {BUSINESS NAME}, a handyman business in {TOWN}, promoting {SERVICE, e.g. furniture assembly}. It goes with a photo of {WHAT THE PHOTO SHOWS}. Two short paragraphs, friendly and local, a few emojis, 3 hashtags, and end with how to book: {PHONE OR WEBSITE}. Don't invent prices, guarantees or reviews.

Reported: He says he spends no more than an hour a week on marketing and calls it a huge game changer. He warns against letting AI write a whole website without your own voice. His revenue growth is business context, not an AI result. Self-reported.

Ask ChatGPT for newsletter topics and a rough framework, then write the customer newsletter in your own words

who Rebecca Stubbs, marketing administrator at Jonny Nichols Landscape Maintenance, a second-generation family-owned lawn and landscape company in Dover, Delaware, in Lawn & Landscape magazine

No made-up statistics or product claims.

Reported: No figures are given for the newsletter. (The review growth the magazine reports for the company, more than double its Google reviews since January and a rating up from 4.1 to 4.6, comes from review-request batches sent from its CRM after each service day, not from AI.) Company-reported.

What should contractors watch out for with ChatGPT?

  • It can be wrong. On the podcast, Craig Timm and the host agree AI sometimes gives wrong information, so he researches further rather than taking it as the final answer (case). Kill the power and follow the manufacturer's instructions before touching wiring.
  • Code, permits and state rules. A scope or training program built from the code or state rules still needs your own check; Taussig says his program is state-approved, and yours needs the same sign-off before it counts (case).
  • Prices. Use your own prices and costs; a chatbot has no live price data for your town. Timm treats its estimate check as a trial, not a final answer.
  • Money decisions. Lachlan Walker rated its finance help "Decent" but says his bookkeeper does far better and he won't base important decisions on it (case).
  • Your voice. Walker rated its marketing "Bad" because it reads as AI-written, Schneider warns against letting AI write a whole website, and Jackson says owners who let AI write their contracts and emails lose the personal touch.
  • Customer data. As a suggestion, remove customer names, addresses and gate or alarm codes before you upload anything, as the Shades of Green and Walkers prompts do.

Each prompt is our template for the job a named contractor or home service owner describes in the source; it isn't necessarily their exact wording. Results are what each business reported, not promises.

What does it cost?

How to start this week

  1. Pick the one job from the table above that eats the most of your week.
  2. Copy its prompt into ChatGPT and replace every {PLACEHOLDER} with your own details, or attach what it asks for (your estimate, a walkthrough transcript, a CRM export with names removed, your handbook or the state rules).
  3. Run it next to how you do the job today, once, and compare the result with your own work.
  4. Add any rule it missed (your prices, warranty, service area, words to avoid) and save it in a ChatGPT project so you reuse the same instructions.
  5. Keep a person on the final step: the price, the code call, the repair or the message to the customer.

Frequently asked questions

What are good ChatGPT prompts for contractors?

The ones that check or speed up work you already do: an estimate check before you send it (Craig Timm), a walkthrough turned into a scope (Steady Home Maintenance), job costs from your own data (Shades of Green), and SOPs and training from your notes or the state rules (Rhino Electric, Taussig Landscape). All 18 prompts are above, each with the business it comes from.

Can ChatGPT do construction estimating?

It can check an estimate you wrote and turn a walkthrough into a scope and material list. Craig Timm says the check catches missed parts and markup; J.R. Crowell's team turns recorded walkthroughs into a code-based scope. Neither lets it set the final price: use your own prices, because it has no live price data for your area.

Can ChatGPT write SOPs and training for my crews?

Yes, from what you give it. Scott Parker talks his process out and has ChatGPT turn it into SOPs; Derek Taussig attached his state's rules and his manuals and built a training program in 10 minutes that the state approved; Toby Mitchell has it write weekly toolbox talks.

Do I need a paid ChatGPT plan for these prompts?
