AI for salons and spas: 16 real automations from salon owners
Updated October 18, 2026 · 16 sourced examples · no paid placement
Short answer: Salon and spa owners mostly use AI on the work around the chair: a morning sales brief, booking goals worked out from salon reports, photo stock takes, HR and lease questions, follow-up emails, apprentice training, manager notes, client complaints and message replies. Answering missed calls is one example among many. In these 16 examples from 12 salons the AI is mostly ChatGPT or Claude. Reported numbers include a stock take that went from two staff for two hours to "a couple of seconds", a follow-up email drafted in about 30 seconds instead of 30 minutes to an hour spent finding the old emails, a WhatsApp and Instagram chatbot handling 300 to 400 chats a day, and missed-call text-back that one salon says brings in about 30 new clients a month. These are what each salon reported, not promises.
Below are 16 documented examples from hair salons, nail salons and salon-spa groups in the US, the UK and India, told by the owners on salon-business podcasts and in their own posts, or reported by Salon Today, Professional Beauty, Hairdressers Journal and Broadsheet: who did it, what the AI does, what they reported and where the story came from. After that: what to keep human, what to watch out for and how to try one this week.
Other industries too: see real AI automations by task for any small business.
What these 16 businesses actually did
- A 7 AM brief on sales, stylists and regulars slipping away: Sam Brocato Salon (New York) (owner-told, via The Connector (Intercoiffure America/Canada) ep. 29: The Future of Salon Leadership: AI & Culture with Jenna Noelle). The salon built an 'AI chief of staff' with Claude, connected through an API integration with its salon software. Every morning at 7 AM it sends a brief: yesterday's sales against an average day for that weekday, the retail, online and service breakdown, top producers and who was down, and top or at-risk clients who have stretched their visit gap (say from every 8 weeks to 10) so the team can email or call them that day. Reported: She says the brief is a sigh of relief: she knows exactly what to do that day without hunting for reports. No dollar figures are given, and the salon software isn't named. Self-reported. Full case
- Booking goals worked out from salon reports: Cape Cod Nail Co. (owner-told, via AI for Growth: Lessons from Leaders podcast (transcript)). She gives ChatGPT her salon reports (booked hours, cost per hour and revenue per hour by season, recurring clients, retention) and works backwards in a layered back-and-forth, challenging every number, then has it produce a visual PDF of the goals. Reported: Self-reported: the analysis showed client counts held up in winter but higher-value pedicures fell off, which led to a winter pedicure marketing campaign. No revenue figures given. Full case
- The weekly stock take from photos: Fergal Doyle Hair (Bristol) (press, via Professional Beauty: How to use AI to grow your salon or beauty business (Ellen Cummings)). He has trained team members to do the stock take with AI: they take a photo of the colour bar and photos of the open cupboards, upload them and ask the AI to do the stock take. The article doesn't name the AI tool. Reported: "What used to take two staff members two hours, now takes a couple of seconds on a Tuesday morning," he told Professional Beauty, and the stock take is off his hands. Self-reported; the article gives no figures on accuracy or ordering. Full case
- HR questions, leases, utility bills and consultation forms: Fergal Doyle Hair (press, via Hairdressers Journal (April 2026): Are You Curious or Cautious About AI?). He uploaded the emails and messages behind an HR issue and got clarity on the law and what to do and not do. Since then he has used AI to challenge incorrect utility charges, review leases, manage staff targets and bookings, rewrite the salon's terms and conditions and streamline consultations: clients upload hair history, photos and inspiration, and AI helps map out formulation steps, retail recommendations and realistic outcomes. He doesn't name the tool. Reported: He says it saved him time, stress and money, and that AI has replaced roles in his business: he no longer needs reception or operations management. His warning: "Just don't give it your bank details." No figures are given. Full case
- Follow-up emails drafted from the whole email history: Sam Brocato Salon (owner-told, via The Connector (Intercoiffure America/Canada) ep. 29: The Future of Salon Leadership: AI & Culture with Jenna Noelle). Her ChatGPT agent, which she named Quinn, is connected to her Gmail. She asks it to review the last five emails she exchanged with someone and draft a follow-up that sounds serious without sounding like a jerk; the draft lands in her Gmail drafts, and she reviews it, edits it and sends it. Reported: She says the draft is in her drafts about 30 seconds later and takes about 30 seconds to edit, against 30 minutes to an hour before just to find the emails. She describes it as adding admin headcount without adding payroll, the salon's biggest expense. Self-reported. Full case
- An apprentice program rebuilt from former apprentices' feedback: Mirror Mirror (Austin) (owner-told, via Grow My Salon Business podcast ep. 352: How Leading Salons Are Using AI Every Day with Martha Lynn Kale (transcript)). Over about six months she asked every former apprentice (she puts it at about 12) for as much feedback as they could give, added what she was seeing in people's readiness on the floor, how the program currently ran and what she wanted to see, and worked it through with AI "like a research paper". She says she primarily uses ChatGPT, which she has fed the salon's branding guidelines and core values for a year. Reported: She says the manuals and playbooks were reworked with AI's help, the program went from two phases to four, more educators were added, and the check-off requirements are more specific. No retention or time figures are given. Self-reported. Full case
- Training, systems and hard conversations in the salon's own standards: Mirror Mirror (owner-told, via Grow My Salon Business podcast). She has fed ChatGPT the salon's branding guidelines, core values and ways of working for 12 months, and uses it for systems, preparing difficult conversations, and training and education, mostly in the office. Reported: Self-reported: "incredibly helpful". No figures given. Full case
- Managers using AI for people management and financial analysis: Gadabout and VerVe (Tucson) (owner-told, via Grow My Salon Business podcast). He gave managers permission to use AI for people management, team communication and financial analysis, uses AI voice to rehearse tough conversations on the drive to a salon, and his marketing team uses AI to enhance creative work rather than replace it. Reported: Frees managers' time for coaching and human connection (self-reported). No figures given. Full case
- Manager conversations summarized by an AI note-taker: Davanti Salon and Spa (Denton, Texas) (press, via Salon Today: 2026 SALON TODAY 200, Technology and Client Retention and Referral (Nicole Johnson)). An AI note-taker gives each conversation a summary, lets managers upload the notes, and embeds the full transcript in the summary. The salon doesn't name the tool. Reported: "Before AI, getting managers to consistently record conversations was an impossible task. Now, AI notetaking gives us a summary of the conversation, allows us to upload the notes, and has a full transcript embedded in the summary," the salon told Salon Today. No time-saved figure is given. Full case
- A client complaint turned into a fix plan: Mirror Mirror (owner-told, via Grow My Salon Business podcast ep. 352: How Leading Salons Are Using AI Every Day with Martha Lynn Kale (transcript)). She texted the whole leadership team the context, collected their responses, then put their responses, the client's feedback and her own two cents into ChatGPT and asked "What are we missing here?", and they built a plan to put it right. The salon also uses AI for front-desk training and for the scripts themselves. Reported: She says they caught the slip and could course-correct fast. Her lesson: "It should be human first, then policy", scripts work better as guidelines, and a new team member shouldn't have been the one delivering the cancellation policy. Clients don't see the AI. No figures are given. Self-reported. Full case
- A WhatsApp and Instagram chatbot that quotes and books: GK Studio (Gurugram and South Delhi) (owner-told, via TechnoVans guest post by the founder). He built GK Studio's own AI chatbot for WhatsApp and Instagram. It recommends a service for the customer's needs and budget, finds the nearest of four branches, shares fixed prices and helps book; staff take over when needed. He uses Claude to review chatbot conversations and improve it. Reported: Self-reported: 300 to 400 chats a day, 150 to 200 of them from new customers, handled with the team stepping in only when needed. Full case
- AI booking and a digital sign-in instead of a reception desk: Samantha Cusick (London) (press, via Broadsheet). AI handles client bookings and a digital sign-in replaces reception. In consultations, stylists can upload a client's photo to ChatGPT on a screen at the chair to explore styles. Reported: Service is sleeker for clients and staff, and overheads are lower without raising prices. No figures given. Full case
- An anniversary event planned in a few clicks: Studio Wish Salon Spa (Ohio) (press, via Salon Today: 2026 SALON TODAY 200, Technology and Client Retention and Referral (Nicole Johnson)). ChatGPT, which the salon calls "Trinity," designed the entire event for the salon's 24th anniversary party, and the team then carried out the details. Reported: "We recently used ChatGPT to design an entire event that normally would have taken many meetings and brainstorming, all done in a few clicks, then we carried out the details," the salon told Salon Today. No attendance or sales figures are given. Full case
- Missed-call texts, last-minute openings and "we miss you" outreach: Metropolitan Salon & Spa (Wisconsin) (owner-told, via Profitable Salon Owner podcast ep. 183: How AI is Boosting Salon Revenue (Cindi Mausehund, Metropolitan Salon & Spa)). Her salon uses AI on the phones and texts so missed calls get an automated but customizable text that lets the guest book without waiting for a callback. The same system can suggest add-on services, text clients about same-day or next-day openings, and run 'we miss you' outreach to guests who haven't visited in a while. Staff can jump into any conversation. The podcast does not name the AI vendor. Reported: In four weeks the AI captured 112 missed calls and booked about $1,800 in additional services. She also describes dashboards for missed calls, bookings and ROI. No tool name is given in the show notes. Full case
- Missed-call text-back that books extension consults: Mermaid Hair Extensions (Seattle area) (press, via Salon Today). When a call is missed, TrueLark texts the caller, answers the common questions (time, methods, how long they last, cost, hair damage) and books a free consultation. Reported: 1,188 new clients in 2023 came through it, about 28 online bookings a week (17 after hours) and about $26,000 a month in extra revenue. Full case
- Missed-call text-back that hands off to a person: Renaissance Curls (Harlem) (press, via Salon Today: How an AI Tool Captures Business from Missed Calls (Stacey Soble)). TrueLark, an AI virtual receptionist, texts back missed callers and answers the recurring questions. She sent TrueLark her FAQs as the system learned how clients ask, and she and her team can watch how the AI answers and jump in when needed. She uses Boulevard for booking. Reported: She says the system fields 82% of incoming calls and brings in an average of 30 new clients a month, around $2,400 in additional revenue. Most clients love never having to talk to someone, she says, and for those who would rather speak to a human, "the AI can actually sense that, and tell the caller that someone from the front desk will reach out to them." What do salon owners automate with AI?
The numbers. At Sam Brocato Salon in New York, director and partner Jenna Noelle gets a brief from Claude at 7 AM, connected to the salon software: yesterday's sales against a normal day for that weekday, the retail, online and service split, top producers and who was down, and regulars whose visit gap has stretched (say from every 8 weeks to 10) so the team can call or email them that day. Sarah Mason of Cape Cod Nail Co. gives ChatGPT her salon reports and challenges every number; she says it showed client counts held up in winter but higher-value pedicures fell off.
Stock, admin and email. Fergal Doyle, founder of Fergal Doyle Hair in Bristol, told Professional Beauty his team does the stock take by uploading photos of the colour bar and open cupboards: "what used to take two staff members two hours, now takes a couple of seconds on a Tuesday morning." He also told Hairdressers Journal he uses AI for HR questions, leases, utility bill disputes, terms and conditions and client consultation forms. Noelle has ChatGPT, connected to her Gmail, read the last five emails with someone and draft the follow-up; she says it is in her drafts in about 30 seconds, against 30 minutes to an hour before just to find the emails.
The team. Martha Lynn Kale of Mirror Mirror in Austin gathered feedback from about 12 former apprentices and used AI (she mainly uses ChatGPT) to rework the apprentice manuals, playbooks and check-offs, going from two phases to four. Frank Westerbeke of Gadabout and VerVe, six salons in Tucson, lets managers use AI for people management, team communication and financial analysis, and Davanti Salon and Spa told Salon Today an AI note-taker finally got managers' conversations on record.
Clients. When a longtime client complained about the front desk, Kale put the complaint and her leaders' replies into ChatGPT to plan the fix. Kamal Gulati says GK Studio's own chatbot handles 300 to 400 WhatsApp and Instagram chats a day and helps book visits, and Broadsheet reports Samantha Cusick's London salon replaced reception with AI booking and a digital sign-in.
Phones, as one example among many. Metropolitan Salon & Spa, Mermaid Hair Extensions and Renaissance Curls text back missed callers with AI so guests can book without waiting for a callback; Renaissance Curls' owner says it fields 82% of incoming calls and brings in about 30 new clients a month, and Metropolitan says it captured 112 missed calls in four weeks. At Metropolitan and Renaissance Curls, staff can jump into any conversation.
What should stay human?
The client and the hard conversations. Kale's lesson from the front-desk complaint was "human first, then policy": an AI-assisted script is a guideline, and a new team member should hand fee and policy conversations to a lead. She keeps the AI invisible to clients and remains the primary coach for her stylists. Westerbeke uses AI voice to rehearse tough conversations, not to have them.
The final call on the hair, the numbers and the order. Doyle says AI helps map out formulation steps in consultations to reduce mistakes, not replace creativity. Mason challenges every number before she sets goals. On a photo stock take, have a person hand-count anything the AI can't read clearly before ordering (our suggestion; the article gives no accuracy figures).
A way to reach a person. GK Studio's staff take over when the chatbot needs them, and at Renaissance Curls the AI tells callers who would rather talk to someone that the front desk will reach out.
What should salon owners watch out for?
Money and personal data. Doyle's warning is "just don't give it your bank details." As a suggestion, remove client names and phone numbers from reports before pasting them into a general AI chat, and check your plan's data settings.
Starting from a blank chat. Kale says the work comes first: she spent a year feeding ChatGPT the salon's brand guidelines and core values, and advises starting with one specific problem instead of asking AI to write a 47-page salon manual.
Who is telling the story. Several of these owners spoke on podcasts run by salon-coaching or salon-association groups (noted on each case), every result above is self-reported, and none of the 16 is a vendor case study.

How to start this week
- Pick the one job that eats your week away from the chair: the morning numbers, the stock count, chasing a supplier or landlord by email, training a new hire, or replies to client messages.
- Gather what the AI needs to sound like your salon: the report export from your salon software, your price and service list, your policies, your training checklist or a few emails you have already sent.
- Start with ChatGPT or Claude on that one job: in a project, upload those files and ask for a first draft in your format (a one-page brief, a stock table, a follow-up email, a phase checklist).
- Keep a person on anything a client or team member sees, and keep bank details, card numbers and client contact details out of the chat.
- Once the drafts are reliably close, make it routine: the same day each week for the stock take, a saved prompt for follow-ups, or the AI and reminder features already inside your booking software.

Questions
How are salon owners using AI?
In these examples: a 7 AM sales and at-risk-client brief from Claude (Sam Brocato Salon), booking goals from salon reports (Cape Cod Nail Co.), photo stock takes and HR, lease and utility questions (Fergal Doyle Hair), follow-up emails drafted from Gmail (Sam Brocato Salon), an apprentice program and training material (Mirror Mirror), manager notes (Davanti Salon and Spa), complaint handling (Mirror Mirror), a WhatsApp and Instagram chatbot (GK Studio) and missed-call text-back (Metropolitan Salon & Spa, Mermaid Hair Extensions, Renaissance Curls).
Can AI do a salon's back-office admin?
Some of it. Fergal Doyle says AI has replaced reception and operations management roles in his business and his team does the stock take from photos; Jenna Noelle has ChatGPT draft her follow-up emails, and she reviews and edits each draft before sending.
Can AI answer salon calls and messages?
Yes, in some of these cases, and it is one automation among many. Mermaid Hair Extensions and Renaissance Curls use TrueLark to text back missed callers, Metropolitan Salon & Spa uses an AI phone and text system the podcast doesn't name, and GK Studio built its own chatbot for WhatsApp and Instagram. In each, staff can step in.
Which AI tool should a salon start with?
Most owners here use ChatGPT; Sam Brocato Salon also uses Claude for its morning brief and GK Studio uses Claude to review chatbot conversations. ChatGPT is listed from Free $0 (Plus $20/mo) and Claude Pro at $17/mo billed annually ($20 monthly). The salon stories don't say which plan they use.
