Missed-call text-back for plumbers, HVAC, electricians and auto shops: 6 real examples
Updated October 17, 2026 · 6 sourced examples · no paid placement
Short answer: Missed-call text-back sends an automatic text to anyone whose call you didn't answer, so they hear from you in seconds instead of calling the next company. The trades businesses below use it while they're on a job, after hours, or as the backup when callers hang up on an AI voice.
Here is who uses it, what tool they named, what they reported and where the story came from, then what the first text should say and how to set it up yourself. We don't have a sourced plumbing example of text-back on its own yet; the closest is Good Guy Plumbing's after-hours AI voice agent, in the AI receptionist guide linked below.
What these 6 businesses actually did
- HVAC: Mountaineer Heating & Cooling (vendor case study, via Podium customer story). Podium texts back missed callers and continues the conversation. Reported: Podium's story title: turns missed calls into more sales. Full case
- Solo electrician: Sloan Electric (vendor case study, via Podium case study). Podium centralises messaging with AI-assisted replies. Reported: Podium's headline: saves 10+ hours a week. Full case
- Mid-job: Supreme Auto Glass (Jurupa Valley, CA, three-person team) (press, via AGRR Magazine: New Kid on the Block (Abby Bowman)). NewBizAI follows up on missed calls by text so callers get a response while the team finishes the job, and the lead is waiting for a callback. Reported: "We know NewBizAI will follow up with them, and we don't have to worry about forgetting to call them back," Jaimes says. "We never miss calls anymore. And we make more money." The shop beta tested the program and helped its founder work through bugs. No revenue figure is given. Full case
- After hours: Wisefly Auto Glass (Chipley, FL) (press, via AGRR Magazine: New Kid on the Block (Abby Bowman)). NewBizAI, a program built for auto glass shops, texts missed callers back right away, answers questions and collects the vehicle information so the shop can start a quote before calling back. Reported: "People don't feel like they're being completely ignored, even if it's after hours," Melissa Martin says. "It texts customers back immediately and makes people feel cared for." She also says some rural customers "don't want anything to do with AI" and only want a person; "once we call and apologize for the AI, they're fine." No lead or revenue figures are given. Full case
- When callers hang up on AI: Leondis Automotive (three workshops) (press, via The Greek Herald). An AI voice receptionist called 'Zoe' follows up missed calls and unfinished online bookings. Many people hung up on the AI voice, so he added SMS follow-up. Reported: text worked better than voice. He says it is 'converting leads we would have missed' even at small volumes. Full case
- At volume: Contractor Appointments (Minnesota) (vendor case study, via Zapier customer story). Zapier + OpenAI replies to homeowner texts, guides them through the funnel and auto-schedules after hours. Reported: Zapier reports 80–90% of top-of-funnel replies handled automatically and 20–50 extra appointments a day. Full case
These are each company's own results with their own tools and teams, as reported by the source. Vendor case studies are written by the company selling the tool. None of them are promises.
Why text, not just voicemail
Supreme Auto Glass's phone rings mid-install, with limited time to set the windshield, and callbacks got forgotten. Now the text goes out on its own and the lead waits for a callback: 'We never miss calls anymore,' Daniel Jaimes says.
Wisefly Auto Glass says callers don't feel ignored even after hours, because the text goes out immediately. Leondis Automotive tried an AI voice first, found many people hung up on it, and says text follow-up worked better.
What the first text should do
Keep it short, say who you are, and ask one question that gets the job details started. Here is the daytime version from the $39 Plumbing & HVAC kit (it's also shown free on the kit page):
- Hi, this is {COMPANY} - sorry we missed your call! We're on a job right now. What do you need help with? Reply here and a real person will text you back.
What to watch for
Some customers don't want AI at all. Wisefly says some rural callers 'don't want anything to do with AI'; once the shop calls and apologizes, they're fine. Make sure a person follows up, and say so in the text.
Most of the results here are vendor case studies or interviews without hard numbers (Mountaineer's and Sloan Electric's are Podium's own stories). Count your own missed calls before and after so you know whether it's working for you.

How to start this week
- Check whether your phone system, texting tool or field-service software already has a missed-call text-back setting.
- If it doesn't, the kit has a do-it-yourself flow for phone systems without text-back.
- Write a daytime and an after-hours version of the first text, plus one nudge if they go quiet. Don't promise a time you can't keep.
- Call your own number from a cell, let it ring out, and read the text you get as a customer would.
- Count missed calls and how many turned into booked jobs for two weeks.

Questions
Is missed-call text-back the same as an AI receptionist?
No. Text-back only sends a text after a call you missed; an AI receptionist answers the call itself. Leondis Automotive used both and found text worked better for people who hung up on the AI voice. Many shops start with text-back.
Does it work for small shops?
Several examples here are small: Supreme Auto Glass is a three-person family team and Sloan Electric is a solo electrician. Wisefly Auto Glass is a rural shop.
What does it cost?
It depends on the tool. Starting prices we checked for the tools named in these examples are in the table above; AI texting features can cost more than the base plan.
Where do I get the text templates?
The $39 Plumbing & HVAC kit has daytime and after-hours first texts, a second text, a nudge and a prompt to rewrite them in your voice. The $39 Auto Repair Shop kit has the same for repair shops, plus a text for unfinished online bookings.
