AI receptionist for HVAC and plumbing companies: 5 real setups and what they reported
Updated October 17, 2026 · 5 sourced examples · no paid placement
Short answer: An AI receptionist answers the calls your team can't get to (after hours, when the queue backs up, or when a promo makes every phone ring at once), asks what's wrong and books the job or hands the emergency to a person. The plumbing, HVAC and home-service companies below used one for exactly those three moments. Several are bigger than a one-truck shop (Good Guy Plumbing has 12 employees and eight vans), and the results are what each company reported, not promises.
Below are the real setups we have documented: who ran them, what the AI did, what they reported and where the story came from. After that: the problems they ran into, what to check before you switch one on, and how to try it yourself this week.
What these 5 businesses actually did
- After hours: Good Guy Plumbing (Torrance, CA, 12 employees) (press, via Contractor Magazine). Housecall Pro's AI voice agent answers 24/7, triages the problem and books the job; its smart scheduling suggests the technician, time slot and route. Reported: The three office staff free up about 10+ hours a week (about 500 a year), now spent on same-day callbacks and marketing. He says the impact is 'still a bit tough to measure directly'. Full case
- Overflow: Tri-City Home Solutions (Milford, CT, plumbing and HVAC) (owner-told, via Mastering ServiceTitan podcast: Amanda Root interview). Root’s team turned on ServiceTitan’s Virtual Agent (named Aria via an internal contest). Callers in queue could opt for Aria; later any call not answered within a set number of seconds routed to her. The team stress-tested the bot before go-live and Root coached it during a surprise full-list email blast. Reported: In the first month tracked on the Mastering ServiceTitan podcast: revenue from booked calls up 186%, booking rate 65.6% (up 26 points), and the agent handled more than 400 calls. Root’s framing: sell one job off of it and you make your money back. Full case
- Booking rush: Bill Joplin's Air Conditioning and Heating (Dallas-Fort Worth) (vendor case study, via ServiceTitan customer story: Bill Joplin's AI virtual agent Karen). ServiceTitan's AI Virtual Agent, which the team named Karen, books and reschedules maintenance calls directly inside ServiceTitan and escalates to a human CSR when needed. Callers press 1 to talk to Karen instead of a person. Reported: 1,300+ calls handled in three and a half months; over 90% of the calls Karen answered ended in a booked job, 72% with zero human intervention. Thompson says setup took about 20 minutes, and the team kept up after going from five CSRs to four. Full case
- Answering service swap: Freedom Pest Control (Merrimack) (press, via Pest Control Technology: Pest Control, Powered by AI (Tom Drapeau, Freedom Pest Control)). An AI customer service rep answers after-hours and overflow calls immediately, transcribes them and writes the call summary. Sellify sends AI-written texts that start sales conversations with existing customers, and ChatGPT drafts email campaigns, Google review replies and vendor negotiation emails. Reported: The AI rep replaced the human-staffed answering service. An AI text campaign to 1,000 customers, often reached in a single day, closed at 2.5% (about 25 sales). Drapeau says dropping manual call answering, faster lead follow-up, better ad spend and streamlined scheduling all lowered costs, while faster response and the sales campaigns raised revenue. He adds that time saved is hard to quantify. Full case
- Website questions at 2 a.m.: Aaron Services (Georgia plumbing, heating and cooling) (press, via The ACHR News: Five tips for HVAC contractors thinking about adding chatbots). A website chat assistant answers homeowner plumbing questions 24/7 from the company's own blog, gives safe first steps, and books a pro when the job is beyond DIY. An Alexa version answers the common questions by voice. Reported: Managers say it has cut time spent on basic and exploratory calls and raised conversions from uncertain customers; usage spiked before Thanksgiving (sink-clog questions) and after hours. Adams says she personally reviewed at least a thousand intents for accuracy and safety. Early lesson: it confused broad tankless-heater questions with specific error codes and needed more training. Out-of-area visitors also use it, which helps SEO. No booking numbers given. Full case
These are each company's own results with their own tools and teams, as reported by the source. Vendor case studies are written by the company selling the tool. None of them are promises.
Three moments an AI receptionist covers
After hours. Good Guy Plumbing's calls after 5 p.m. used to roll to voicemail and get lost; an AI voice agent in Housecall Pro now answers around the clock, triages the problem and books the job.
Overflow. At Tri-City Home Solutions, callers waiting in the queue could choose the ServiceTitan Virtual Agent, and later any call not answered within a set number of seconds went to it.
Rushes you cause yourself. Bill Joplin's sent a maintenance text to about 400 customers and the phones lit up. Callers now press 1 to book or reschedule with the AI agent, and it hands off to a person when needed.
What went wrong, or was hard
Measuring it. Rob Castelao of Good Guy Plumbing says the impact is 'still a bit tough to measure directly', and Tom Drapeau of Freedom Pest Control says time saved is hard to quantify. Decide before you start what you'll count: calls answered after hours, jobs booked by the AI, or callbacks your office no longer has to make.
Testing. Tri-City stress-tested the agent before go-live, and its CEO coached it live during a surprise email blast. Aaron Services says it personally reviewed at least a thousand intents (the questions it answers) for accuracy and safety, and its assistant still mixed up broad tankless-heater questions with specific error codes at first.
Callers who won't talk to a bot. An auto repair owner in another of our cases found many people hung up on his AI voice and switched to text follow-up, which worked better. Plan a text backup (see the missed-call text-back guide below).
Before you switch one on
Write down the rules a new CSR would need on day one, and give the same rules to the AI.
- What counts as an emergency (no heat, active leak, gas smell), and who gets the call or text when it is one.
- Your service area, hours and what you never quote over the phone.
- How a booked job lands in your schedule, and who confirms it.
- The exact moment it answers: after hours only, after X rings, or when the queue is full.

How to start this week
- Pick one moment to cover first: after hours, overflow or a booking rush. Don't start with all three.
- Check whether the software you already pay for has an AI receptionist (Good Guy used Housecall Pro's; Tri-City and Bill Joplin's used ServiceTitan's). If not, a standalone AI receptionist can sit on your existing number.
- Write the rules above into the agent's instructions. The $39 kit has after-hours AI voice agent instructions for plumbing and for HVAC you can paste in.
- Call it yourself 10 times and try to break it: an angry caller, a gas smell, an out-of-area address, someone asking for a price.
- Turn it on for one moment, add a missed-call text as the backup, and count what you decided to count for two weeks.

Questions
Will customers hang up on an AI receptionist?
Some will. An auto repair owner in our cases found many callers hung up on the AI voice and added text follow-up, and an auto glass shop says some rural customers only want a person. Give callers a way to reach a human for emergencies.
Does it replace my CSRs or office staff?
In these examples it mostly took the calls nobody could get to. Good Guy Plumbing's three office staff moved about 10+ hours a week to same-day callbacks and marketing. Bill Joplin's says the team kept up after going from five CSRs to four. Freedom Pest Control replaced its human-staffed after-hours answering service.
How long does setup take?
Bill Joplin's says its setup took about 20 minutes inside ServiceTitan. That doesn't include writing your rules and testing, which is where Tri-City and Aaron Services spent their time.
Is there a do-it-yourself option?
Yes. The $39 Plumbing & HVAC AI Starter Kit has after-hours AI voice agent instructions for plumbing and HVAC, a human on-call script, a stress-test sheet and missed-call text templates, each linked to the cases on this page.
