ChatGPT prompts for restaurants: 16 copy-paste prompts built from what real restaurants do (2026)
Updated October 21, 2026 · 16 sourced examples · one copy-paste prompt per job · no paid placement
The restaurant prompts that earn their keep are about the menu, the numbers and the paperwork, not just social posts. Below are 16 copy-paste prompts, each tied to a named restaurant, café, brewery or caterer that does that job with ChatGPT (and in one case Claude too): naming a dish (Noodles by Nina), repricing a menu (Ted Taylor's franchises, 5 days down to 1-2 hours in OpenAI's story), turning a photo of a paper inventory sheet into a shopping list (Coffee & Kindness), a weekly ticket-time report from a Toast export (Old Scratch Pizza), staff schedules, payroll checks, cash reconciliation, flyers, review replies and customer emails. Fill in the {PLACEHOLDERS}, paste, and check the output before you use it.
- Give it your real data, not a blank chat. The owners with the clearest results upload something: a Toast CSV (Old Scratch Pizza), monthly P&Ls (Vice Beer), past schedules (BnX Burgers) or a menu with plate costs (Ted Taylor).
- Set the rules before you ask. Taylor tells it the overall increase he wants and which items get bigger or smaller increases; Reid Schilling of Cowbell Seafood & Oyster checks payroll against his own benchmarks and checklist.
- Run it side by side once. Taylor did his first repricing by hand as well and compared; his manager built a schedule herself to see what rules the AI was missing (labor case).
- Read every word and number. "You got to read out and look over everything. It's going to make mistakes," says chef Matthew Drazick Halip of Domi, and Sara Rojas still tweaks every customer email ChatGPT drafts (case).

What are good ChatGPT prompts for a restaurant menu and pricing?
Start with the dish, then the numbers. Nina Zhang asks ChatGPT whether American diners will like a traditional dish before she puts it on, and had it come up with the "golden lava bun" for her yolk-custard bun. Ted Taylor gives ChatGPT Work a categorized menu with in-store and delivery prices and the increase he wants, and gets back a spreadsheet of recommended prices. For events, Christie's works out quantities and costs so it makes less food it throws away.
Name a dish so local diners order it: Noodles by Nina (Denver)
Nina Zhang, co-owner of Noodles by Nina, a hand-pulled noodle restaurant in Denver, in The Denver Post
I run {RESTAURANT}, a {CUISINE} restaurant in {CITY}. Here is a dish we want to sell more of: {DISH DESCRIPTION, ORIGINAL NAME, KEY INGREDIENTS}. 1) Tell me honestly what might make diners here hesitate to order it and what might appeal to them. 2) Suggest 10 English menu names (5 plain and descriptive, 5 playful), each with a menu description under 20 words. Don't invent ingredients or health claims, and don't call it authentic or traditional unless I say so.Reported: The Golden Lava Bun is on the Noodles by Nina menu; the paper says she renamed it to help boost sales but gives no sales figures. "I'm always like, 'Okay, let me ask ChatGPT if American people will like it,'" Zhang says. "I think it's a really good tool. You don't have to pay for an assistant."

Plan food quantities and costs for a catered event: Christie's (Houston)
Christie's, described by the Houston Chronicle as Houston's oldest restaurant, with general manager Maria Christie
Using my portion and cost sheet, plan food for an event at {RESTAURANT NAME}: {GUEST COUNT} guests, {SERVICE STYLE, e.g. buffet or plated}, menu: {MENU ITEMS}, event length {HOURS}. Give a table with each item, portion per guest, total quantity to prep, raw ingredients to order, and cost. Add the total food cost and cost per guest. Show the math, and note where you assumed something not in my sheet.Reported: General manager Maria Christie says it helps reduce overproduction and food waste. No figures are given.

What ChatGPT prompts help with restaurant inventory and the kitchen?
Inventory is where a photo or a spreadsheet beats typing. Cole Morgan snaps the café's paper inventory sheet and gets a checklist of what to buy, grouped by store. Los Dos Potrillos compares what sold with what was left to see whether it orders too much alcohol, rice or beans. When equipment breaks, Ramy Singh photographs it and asks AI what's wrong before calling a repair tech, and Brewpoint Coffee's owner uploaded all its equipment manuals into ChatGPT for troubleshooting.
Photo of the paper inventory sheet → shopping list by store: Coffee & Kindness (Nashua, New Hampshire)
Cole Morgan, owner of Coffee & Kindness, a coffee shop in Nashua, New Hampshire, on his own blog
You are the remote inventory manager for {CAFE NAME}. When I upload a photo of today's inventory sheet, compare it with the item list in the project file and output only a markdown checklist of items to buy, with checkboxes, grouped by vendor ({VENDORS, e.g. Sams Club, Hannaford}). Before finalizing, ask me about any item on the list that isn't on the sheet. Don't add items that aren't on the list.Reported: He says accuracy and detail improved immensely with newer ChatGPT models without changing his instructions, though it sometimes asks too many questions and he tells it to just output the list. No time-saved figure is given beyond the 2 to 10 minutes the manual list used to take.

Catch over-ordering by comparing sales with leftovers: Los Dos Potrillos (Colorado)
Daniel Ramirez, CEO of Los Dos Potrillos, a family-owned chain of Mexican restaurants in Colorado, in The Denver Post
Here are two weeks of data for {RESTAURANT}: item sales from our POS {SALES CSV}, what we ordered from suppliers {ORDERS}, our end-of-week counts {COUNTS} and the amount of each ingredient per dish {RECIPE AMOUNTS}. For {INGREDIENTS e.g. rice, beans, tequila, beer}, calculate expected use, actual use and what we have left. Flag anything where we ordered more than {PERCENT}% above what sold, and suggest a new weekly par for each. Show the math and mark any assumptions.Reported: The article gives no savings figure. "We like to let AI guide our thoughts, not think for us," Ramirez says, pointing to chatbots' relative objectivity and range of options: "You can ask anything."

Photograph broken equipment and ask what's wrong: Aura Kitchen and Bar (Columbia, South Carolina)
Ramy Singh, owner of Aura Kitchen and Bar in Columbia, South Carolina, in the Free Times (Post and Courier)
These photos show our {EQUIPMENT: FRYER / OVEN / ICE MACHINE}, model {MODEL FROM DATA PLATE}. Symptom: {WHAT IT DOES OR DOESN'T DO}. Error code shown: {CODE OR 'none'}. List the most likely causes in order, and for each say (1) what a staff member can safely check with the unit off and cool, (2) what needs a licensed technician, and (3) which page or section of the manufacturer's manual to look for. If you can't read something in the photo or aren't sure of the model, say so instead of guessing. Remind me of any gas or electrical safety steps first.Reported: He estimates he has saved almost $2,500 using AI since the restaurant opened in June. Self-reported estimate.

What ChatGPT prompts help a restaurant with sales reports, P&Ls, payroll and cash?
Upload the export you already have. Old Scratch Pizza runs a fixed prompt on a weekly Toast Order Details CSV (over 8,000 lines) to get the share of checks done in 20 minutes or less at each location. Vice Beer's co-founder asks ChatGPT to act as CFO on monthly P&Ls. Cowbell checks weekly payroll summaries against set benchmarks and a checklist, and Ted Taylor has each store's cash matched to bank deposits every month. Have your bookkeeper or accountant sign off on anything that gets booked.
Weekly ticket-time report from a Toast export: Old Scratch Pizza (Dayton, Ohio)
Eric, owner of Old Scratch Pizza in Dayton, Ohio, and a Toast Customer Advisory Board member, answering questions in a Toast Community AMA
Analyze restaurant order fulfillment times in the attached Toast Order Details CSV for {DATE RANGE}. Group by Location, Check # and Date. For each check, take the earliest Fired Date to the latest Fulfilled Date. For each location show: total checks, number and % fulfilled in {TARGET MINUTES, e.g. 20} minutes or less, and number and % over. Format percentages to two decimals. Then make a side-by-side bar graph comparing locations by day of week.Reported: The report is part of the weekly manager review and gives teams a specific measurement to work toward each week. "I could have never done this without AI," he says. No before-and-after ticket times are given.

Ask ChatGPT to read your P&L like a CFO: Vice Beer (Vancouver, Washington)
Michael Perozzo, co-founder and CMO of Vice Beer, a brewery in Vancouver, Washington making roughly 900 barrels a year, in Brewer Magazine
Act as the CFO of {BUSINESS NAME}, a {TYPE, e.g. small brewery with a taproom and wholesale accounts} in {CITY}. Review the attached P&L statements for {MONTHS} and any sales or production data. List the three biggest trends, any line where we're spending more than {BENCHMARK, e.g. payroll over 30% of sales}, and decisions I should make this month. For any new product idea I mention ({IDEA}), list the costs and what it ties up (cash, kegs, tank or shelf space, staff time) and for how long. Quote the figure you're using for every point.Reported: He says he was "absolutely blown away" by the trends it spotted that he hadn't noticed. In one case it pointed out that seven barrels of a Saison would tie up 15 kegs for five to six months, an opportunity cost nobody had raised. It has fed into pricing discussions, sales goals and KPI tracking, but he says every recommendation still needs human judgment about the local market. He refuses to use it for recipes or major branding. No dollar figures are given.

Check weekly payroll against your own benchmarks: Cowbell Seafood & Oyster (Washington, D.C.)
Reid Schilling, chef/owner of Cowbell Seafood & Oyster in Washington, D.C., speaking on a James Beard Foundation webinar
Check this weekly payroll summary for {RESTAURANT NAME} against these benchmarks: {BENCHMARKS, e.g. labor under 32% of sales, no one over 40 hours without approval, tip pool split per our tip model}. Go through this checklist: {CHECKLIST ITEMS}. List every line that breaks a rule, with the employee role, the number and the rule. Don't change any figures; if data is missing, say so.Reported: "I can compare the pitfalls it sees with the pitfalls I think I see. That can wind up saving you big time in the long term," he says. The James Beard Foundation recap suggests adding your tip model and other benchmarks to catch errors before they hit your bottom line. No savings figure is given.

Match each store's cash to bank deposits every month: Ted Taylor's franchises
Ted Taylor, an independent franchisee running three co-branded Schlotzsky's and Cinnabon restaurants across New Mexico (OpenAI customer story)
Attached are {MONTH} cash records for {STORE}: daily cash sales and deposit log from our POS {POS CSV} and the bank statement {BANK CSV}. Match each day's cash to a bank deposit (deposits may land 1-3 days later or combine days). Return a table: business date, cash expected, deposit date, amount deposited, difference. Then list every unmatched deposit, every day with no deposit and every difference over {DOLLAR THRESHOLD}. Don't guess at causes; just flag them.Reported: OpenAI's story reports monthly reconciliation down from three hours to 5-10 minutes (a 94% cut). Taylor reviews results before acting on them and expands to new tasks as he gains confidence.

Can ChatGPT build a restaurant staff schedule?
Two restaurants here have it draft one. Tony Mistry of BnX Burgers uploads past schedules and the week's availability changes to paid ChatGPT and gets updated shifts. Ted Taylor's ChatGPT Work drafts one store's full schedule from the roster and staffing rules; the manager checks it and enters it into the scheduling system. Both keep a person on the final version.
Build next week's staff schedule from past schedules: BnX Burgers (Webster, Texas)
Tony Mistry, who previously ran Burger Nation and now owns BnX Burgers in Webster, Texas, interviewed by the Houston Chronicle
Build next week's staff schedule for {RESTAURANT NAME}, open {HOURS}. Use the uploaded past schedules as the pattern. Staff, roles and limits: {STAFF LIST WITH ROLES, MAX HOURS, DAYS OFF}. Changes this week: {CHANGES}. Minimum coverage: {COVERAGE, e.g. 2 cooks and 2 front-of-house Friday 5-9 PM}. Output a table by day and shift, total hours per person, and flag anyone over {OVERTIME LIMIT} hours or any shift below minimum coverage.Reported: The Chronicle says he generates updated schedules in minutes for $30 a month (the cost given in the article) instead of the $68-a-month scheduling software. Financial reports that once took at least 15 days now arrive in minutes, at a fraction of a bookkeeper's cost, though he still corrects errors. Self-reported.

Check labor against sales and draft the weekly schedule: Ted Taylor's franchises
Ted Taylor, an independent franchisee running three co-branded Schlotzsky's and Cinnabon restaurants across New Mexico (OpenAI customer story)
Here are 12 weeks of data for {STORE}: daily sales (forecast and actual) {SALES}, hours by role (scheduled, budgeted, actual) {HOURS}, and our labor target of {LABOR %} of sales. 1) Flag overtime, shifts that ran longer than planned and under-covered hours, and say which store or day needs attention. 2) Using this roster {ROLES, TRAINING, AVAILABILITY, MAX HOURS} and these staffing rules {RULES}, draft next week's schedule for forecast sales of {FORECAST}. Show projected labor % per day and list every rule you couldn't meet.Reported: The manager checks the schedule, adjusts it if needed and enters it into the restaurant's scheduling system. Taylor estimates better scheduling could eventually cut hourly labor costs by one to two percentage points of sales across the three restaurants, $50,000 to $100,000 a year in free cash flow; that's his estimate, not a result yet. The story also reports 4 hours saved every payroll by having ChatGPT Work summarize payroll inputs.

What ChatGPT prompts work for restaurant flyers, review replies and customer emails?
Feed it the real thing: a photo of your actual food (why that matters), examples of your own voice, and your real prices and policies. Jasmin Walls makes flyers from real photos of her donuts, Old Scratch Pizza uploaded examples of its brand voice before drafting review replies, and Sara Rojas pastes in what a client sent and gets back a draft reply in the shop's voice, which she tweaks and sends herself.
Draft Google and Yelp review replies in your own voice: Old Scratch Pizza
Eric, owner of Old Scratch Pizza in Dayton, Ohio, and a Toast Customer Advisory Board member, answering questions in a Toast Community AMA
You write for {RESTAURANT NAME}, a {TYPE OF RESTAURANT} in {CITY}. Match the voice in the uploaded examples. When I paste a review, draft a reply under {WORD LIMIT} words that thanks the guest by first name, mentions one specific thing they said, and, if they had a problem, apologizes once and invites them to contact {CONTACT}. Never offer refunds or freebies unless I say so.Reported: He says the review replies come out thoughtful and kind, and that AI speeds up social media, ad copy and promotional content while keeping the messaging consistent. No time figures are given.

Draft replies to customer and catering emails: Charcuterie by Bohemian Picnics (New York)
Sara Rojas, co-owner and creative director of Charcuterie by Bohemian Picnics, a build-your-own charcuterie board and picnic basket shop on Seventh Avenue near Central Park in New York, with a sister event-planning business, Bohemian Picnics, on the Artificial Reality podcast
You help me answer customer inquiries for {BUSINESS_NAME}, which sells {WHAT_YOU_SELL} in {CITY}. My tone: {TONE_RULES, e.g. warm, friendly, short, never robotic}. Facts you can use: {PACKAGES_PRICES_AND_POLICIES}. Here is the client's email: {CLIENT_EMAIL}. Draft a reply that answers each question they asked, asks for any details I need (date, guest count, budget), and ends with a clear next step. Do not invent prices or availability. Mark anything you are unsure of with [CHECK].Reported: Self-reported: about 10 minutes per reply down to "a minute or less". The person she had hired to help with email is no longer needed: "ChatGPT has replaced it." She still reads and tweaks every reply, because answering is how she learns what a client wants. No other figures are given. Main limit: the tone drifts back to generic ("I'm just gonna do a generic one."), so she has to re-prompt it to be friendly again.

What should restaurant owners watch out for with ChatGPT?
- Mistakes in numbers and text. Drazick Halip calls it "kind of like a stage or an intern." Check totals against your POS and read every word on a flyer before it goes out.
- It guides, you decide. "We like to let AI guide our thoughts, not think for us," says Daniel Ramirez of Los Dos Potrillos; Taylor reviews results before acting on them.
- Private data. As a suggestion, mask bank account numbers, leave out employee details the job doesn't need, and check your ChatGPT plan's data settings before uploading payroll or bank files.
- Legal and safety calls. For trademarks, health rules or equipment repairs, use the AI's answer as a starting list and confirm with the professional, the agency or the manufacturer.
Each prompt is our template for the job a named restaurant describes in its source; it isn't necessarily the owner's exact wording. Results are what each business reported, not promises.
What does it cost?
ChatGPT has a free plan; the paid plans start at Go $8/mo. In these stories, Drazick Halip pays $20 a month for ChatGPT Plus, the Houston Chronicle gives Mistry's cost for the paid version as $30 a month, and Taylor uses ChatGPT Work, whose price his story doesn't give. The table shows the starting prices we checked on each vendor's own pricing page, on the date shown.
| Tool | Starting price we checked | Checked | Which restaurants here name it |
|---|---|---|---|
| ChatGPT | Free $0; Go $8/mo; Plus $20/mo; Pro $100/mo | 2026-10-20 | Noodles by Nina, Ted Taylor (ChatGPT Work, price not given), Christie's, Coffee & Kindness, Brewpoint, Old Scratch Pizza, Vice Beer, BnX Burgers, The Dear Donut, Charcuterie by Bohemian Picnics |
| Claude | $17/mo billed annually ($20 monthly) | 2026-10-21 | Old Scratch Pizza (review replies and promos, alongside ChatGPT) |
| Toast | POS from $0/mo (Starter Kit) or $69/mo; plus $9/employee/mo on some plans | 2026-10-18 | Old Scratch Pizza (the Order Details export it analyzes) |
How to start this week
- Pick the one job from the table above that eats the most of your week.
- Copy its prompt into ChatGPT and replace every {PLACEHOLDER} with your own details, or attach the export it asks for (POS CSV, P&L, schedule, photo).
- Run it next to how you do the job today, once, and compare, the way Ted Taylor did with his first repricing.
- Add any rule it missed to the prompt and save it in a ChatGPT project so you reuse the same instructions every week.
- Keep a person on the final step: the price change, the schedule, the payroll or the post.
Frequently asked questions
What is a good ChatGPT prompt for a restaurant menu?
Two jobs come up most: naming and pricing. Nina Zhang of Noodles by Nina asks ChatGPT whether locals will like a dish and had it name her custard bun the "golden lava bun"; Ted Taylor gives it his menu with plate costs and target increases and gets recommended in-store and delivery prices. Both prompts are above.
Can ChatGPT price my restaurant menu?
It can draft recommendations from your data. In an OpenAI customer story, franchisee Ted Taylor cut his annual repricing analysis from 5 days to 1-2 hours with ChatGPT Work. He did the first one by hand too, compared, and still adjusts its recommendations; you set the target increase and the items to hold.
Do I need a paid ChatGPT plan for these prompts?
Not to try them. ChatGPT has a free plan, and paid plans start at Go $8/mo. Several owners here pay: Domi's chef uses Plus at $20/mo, and BnX Burgers' owner is reported paying $30/mo for the paid version.
Is it safe to put my restaurant's sales or payroll data into ChatGPT?
As a suggestion, mask bank account numbers, remove employee details the job doesn't need, and check your plan's data settings first. Taylor gave ChatGPT Work read-only access to sales and labor data, and Cowbell's owner works from a payroll summary rather than full records.
