AI for bookkeeping and invoice processing: 9 real small-business examples

Updated October 18, 2026 · 9 sourced examples · no paid placement

Short answer: Small businesses use AI to pull bills and invoices out of email and file them, match vendor bills to purchase orders, catch charges missing from an invoice, categorize transactions, and draft financial statements and payment notices. In these 9 examples the AI is mostly ChatGPT or Claude, sometimes inside a small script or app the owner built. One contractor says filing subcontractor invoices this way saves him roughly 5 to 6 hours a week. Several owners say they still check or correct what it produces, and tax questions still go to a CPA. The results are what each business reported, not promises.

Below are 9 documented examples from a general contractor, a design-build remodeler, a gift shop, a veterinary clinic, a solo tax firm, a solo bookkeeper, a burger restaurant, an auto glass shop and a window-cleaning company, told by owners in their own words, on podcasts and in the trade and business press: who did it, what the AI does, what they reported and where the story came from. After that: what a person should still check, what to watch out for and how to try it this week.

What these 9 businesses actually did

These are each company's own results with their own tools and teams, as reported by the source. Vendor case studies are written by the company selling the tool. None of them are promises.

What bookkeeping and invoice work can AI take off your plate?

Getting bills out of the inbox. Morgan Sterling of Beach Cities Builder, a general contractor in Hermosa Beach, California, was getting several subcontractor invoices a day across about 30 active job folders and spent hours entering each one into Zoho Books and filing it in Google Drive. With ChatGPT's help he built a script that pulls invoices from email, reads them, identifies the job and files them. He reports the workflow is effectively 100% accurate and saves roughly 5 to 6 hours a week. Beth Rich, who owns Mix It Up Gift and Mix It Up Home in Coeur d'Alene, Idaho, used to pay someone just to key new products from purchase orders into her POS. She is beta-testing an assistant (Aitomic's 'Sara') that finds purchase orders and invoices in her email, spots products that aren't in the POS yet and creates them as drafts. It is early, with no numbers yet.

Matching bills to jobs and catching misses. At Element Design Build, an eight-person remodeler in Hudson, Ohio, an AI agent helps input vendor bills, match purchase orders and budget line items and support reconciliation in JobTread, and owner Vlatko Demrovski uses Claude to connect the company's software. Job-close audits now happen on every job, he says, and commission calculations that took a full day take under an hour. Dr. Steve Pelton, the veterinarian who owns Hearthstone Animal Clinic in Cypress, Texas, built a small app with Claude on top of his practice software that compares each visit's notes to the invoice: if the notes say two teeth were pulled and the invoice doesn't, he knows before checkout. He says the check "has caught real money more than once."

Categorizing and drafting the books. Sam Leon, a solo CPA at The Millennial CPA, has Claude, connected to files on his computer, summarize documents, categorize transactions and build QuickBooks rules (he is also building an AI platform for tax firms). Tony Mistry of BnX Burgers in Webster, Texas, is training paid ChatGPT on his bookkeeping: from bank statements it produces profit-and-loss reports, balance sheets and cash flow statements, which he corrects. The Houston Chronicle reports that financial reports which took at least 15 days to come back now arrive in minutes.

Letters, tax season and admin. Jon Styles, co-owner of an Optic-Kleer auto glass franchise in St. Augustine, Florida, had ChatGPT draft a final notice to an insurance claims administrator that still hadn't paid three months after a windshield job, and says he barely had to edit it (the article doesn't say whether he was paid). Kyle Ray of Geek Window Cleaning uses ChatGPT at tax season to find questions for his CPA and to prepare his own return to compare with the CPA's. Natasha Everard, a solo bookkeeper at Bewitching Bookkeeping, has a ChatGPT agent review her calendar each morning and uses Sage Copilot for core accounting tasks.

What should a person still check?

The numbers. Mistry still corrects errors in the statements ChatGPT drafts, Leon checks outputs by hand, and Ray says he wouldn't trust it 110%: his CPA still gets the final say. Rich's assistant creates new products as drafts, not finished entries.

What goes into the AI. Leon never uploads anything with Social Security numbers, EINs or last names. Everard keeps client data out of ChatGPT, has a written AI policy and tells clients about it in her engagement letter.

What to watch out for

Plans are not results. Price Foulger, founder of Rally Roofing in California, built AI agents for bookkeeping and pulling permits and aims to automate 80 to 90 percent of his office tasks, but the company was six months old when HomePros News interviewed him, so those are early claims. Anthony Qaiyum of Merz Apothecary in Chicago told the House Small Business Committee his team is building an agent for routine accounts payable, a job that takes one employee more than 20 hours a week; it was still being built, so no savings are reported yet.

Who published the numbers. Sterling's invoice figures were published by OpenAI Academy, the education site of the company that makes ChatGPT. Every figure on this page is what the business itself reported.

How to start this week

  1. Pick the paperwork that eats the most time: bills arriving by email, purchase orders to key in, invoices to check against the work done, or month-end statements.
  2. Write down the rule a person follows today: which job or account each bill belongs to, what every invoice should include, which numbers get compared.
  3. Try it by hand first: paste a few bills or an export into ChatGPT or Claude with that rule and see whether it files or flags them correctly. Leave Social Security numbers, EINs and client names out.
  4. Check every result against your books for a couple of weeks before you trust it.
  5. Once it is reliably right, automate the hand-off (a small script, an automation tool, or rules in your accounting software), with a person approving anything that posts to the books.

Questions

Can AI do my bookkeeping?

It can do parts of it. In these examples AI pulls invoices from email and files them by job (Beach Cities Builder), helps input vendor bills and match purchase orders (Element Design Build), categorizes transactions and builds QuickBooks rules (The Millennial CPA) and drafts monthly statements from bank statements (BnX Burgers). Several owners say they still check or correct the numbers, and tax questions still go to a CPA.

Can I use ChatGPT for bookkeeping?

Owners here do. Tony Mistry drafts profit-and-loss reports, balance sheets and cash flow statements from bank statements with paid ChatGPT and corrects them, and Morgan Sterling built his invoice-filing script with ChatGPT's help. Sam Leon uses Claude instead, connected to his own files, and never uploads Social Security numbers, EINs or last names.

Can AI process invoices automatically?

Yes, once a person sets the rules. Sterling's script pulls invoices from email, identifies the job and files them, which he says saves roughly 5 to 6 hours a week; Beth Rich's assistant turns emailed purchase orders into draft POS products; Element Design Build's agent helps match vendor bills to purchase orders. These are self-reported results.

Can AI catch billing mistakes?

In one example, yes: Dr. Steve Pelton's app compares each visit's notes to the invoice before the client leaves, and he says it has caught real money more than once (no dollar figure given). Element Design Build now runs a close-out audit on every job.

Can someone set it up for us?

Yes. The $197 Quick-Win sets up one automation in accounts you own, live within 48 hours of getting access, with a refund if it is not live in 48 hours or is not doing its job in the first 14 days.
