Have Claude do the first pass of a client's month-end close, from miscoded expenses to PO and AR chase emails

who Kayley Perry, CPA, co-founder and head of accounting at Firm Five, a fractional bookkeeping, controller and CFO firm (six people on its team page) serving US and Canadian businesses with $2M to $50M in revenue, on LinkedIn

What it does

Claude does the initial close analysis by following the firm's month-end SOPs: it flags miscoded expenses at the supplier and GL account level, reviews open purchase orders, open sales orders, accrued purchases, unapplied customer deposits and receivables, and updates and posts depreciation. For the open POs, sales orders and AR it drafts follow-up emails to the purchasing team, vendors and sales team.

Tool cost

Claude $17/mo billed annually ($20 monthly); free plan available; NetSuite is the client's own ledger and isn't priced here

Setup

Medium · or we do it from $149/mo

The problem

The first stretch of a month-end close for a $20M manufacturing client on NetSuite is review work: data mining, going through transaction histories and filtering reports, all before any judgement-heavy review can start. She says some of it runs into NetSuite's own limits.

What happened

"We've ran our month end procedures using Claude for May. I'm estimating we've saved ourselves atleast 10 hours of data mining, assessing transaction histories, and filtering reports," she wrote, adding that human intervention is still required and that Claude "executed the logic of our SOPs pretty seamlessly." The 10 hours is her estimate for one client's close. Automating the execution of these processes was a pilot she was still working on, and she expected less benefit on QuickBooks Online or Xero clients, which she hadn't tried yet. Owner-told.

How to set it up yourself

  1. What Firm Five does: for one client, a $20M manufacturer on NetSuite, Claude does most of the first-pass month-end close analysis, following the firm's own SOPs, and drafts the follow-up emails on open POs, sales orders and receivables. People still review the work.
  2. Write your close SOP as plain checks, one per task (expense coding, open POs, open sales orders, depreciation, accrued purchases, customer deposits, AR). For each check, note the report it needs, what counts as a problem and who gets the follow-up. Start with one client and the three or four checks that take the longest.
  3. Each month, export those reports from the client's ledger, replace customer and vendor names with codes if your client data policy requires it, and paste one check plus its export into Claude with the prompt below. Run one check at a time.
  4. Treat everything as a draft: a team member checks each flagged item against the ledger before any entry is posted and edits every email before it goes out. Note what Claude got wrong and tighten the SOP wording for next month.

Copy-paste prompt

You are doing the first pass of a month-end close for client {CLIENT CODE} for {PERIOD}. Follow this check from our SOP exactly: {SOP CHECK}. Use only the data in this export: {PASTED EXPORT}. Never invent transactions, accounts, vendors, customers, amounts or dates; if data is missing or unclear, say so for that item. Output: 1) a table of flagged items (item, supplier or customer, GL account, amount, issue, suggested action); 2) questions for the reviewer; 3) one draft follow-up email per recipient group ({RECIPIENT GROUPS}), marked DRAFT, NOT SENT.
