Let AI software suggest the diagnosis and write the patient and referral reports for dry eye exams at a small optometry practice

who Dr. Rana Taji, owner and medical director of Toronto Medical Eye Associates in North York, Ontario, writing in Review of Optometric Business

What it does

Just over a year before writing, the practice adopted CSI Dry Eye Software, an AI platform for dry eye patients. Patients get an email or text to fill out forms ahead of time, or scan a QR code in the office. Technicians enter the diagnostic findings (inflammatory markers, tear breakup, meibography), and the AI suggests a final diagnosis (evaporative, aqueous deficient or mixed) and grades severity as mild, moderate or severe. Templates fill in recommended treatments, the software charts progress over time, and it exports full reports for referring doctors and plain-language reports for patients. When she started, she ran a parallel track, comparing her own diagnosis with the AI's.

The problem

Dry eye care grew to more than 60% of her practice, and every 90-minute assessment came with heavy data entry, forms and reports for patients and referring doctors.

What happened

"We schedule our dry eye assessments for 90 minutes. However, because the software handles the intensive data input and reporting, we are no longer using all 90 minutes," she writes; she now has the in-depth patient conversation in about an hour and 10 minutes and uses the saved time for patient education. Self-reported by the owner in a trade magazine; she also appears in the software company's customer testimonials. The doctor makes the diagnosis; the software guides it.

How to set it up yourself

  1. What Toronto Medical Eye Associates does: technicians enter dry eye test results into CSI Dry Eye Software, the AI suggests a diagnosis and severity, and the software writes the patient and referral reports.
  2. Pick the one exam type that eats the most admin time in your practice and list every form, score and report it needs.
  3. Look for clinical software built for that exam that collects intake forms before the visit and generates reports (she uses CSI Dry Eye Software; ask your vendor how it fits your EHR).
  4. For the first weeks, run a parallel track as she did: make your own diagnosis, then compare it with the software's before trusting it.
  5. Use the prompt below to draft the plain-language patient summary template your software or team will fill in, and keep the clinical decisions with the doctor.

Copy-paste prompt

I'm an optometrist at {PRACTICE NAME}. Write a one-page plain-language summary template for a dry eye patient after their assessment. Sections: what we found (with blanks for diagnosis type and severity), what it means in everyday words, your treatment plan (blanks for in-office treatments and home care), what to expect over the next 3 months, and when to call us. Reading level: grade 6. Don't include any diagnosis or treatment details that aren't blanks for me to fill in.
