Get a same-day PR playbook from ChatGPT when something goes wrong at the practice

who Dr. Beau Sparkman, owner of Valley Family Dental (Fort Smith, Arkansas and Roland, Oklahoma), in a DSI conference session with Dr. Steve Dove, replayed on The Dentalpreneur Podcast

What it does

He pulled up the photos his team sent and told ChatGPT he wanted it to be his PR expert, with what had happened and that no one was injured. It gave him a full playbook: what the team should say, what he should say, what to post on social media and on the practice's Google page, and what to say if the news showed up. He handed it to the team. His office also gives each department project files in its AI tool, and he has staff ask the AI to interview them with questions first, for example when they need ideas on how to handle a bad review or a refund.

The problem

A patient's car jumped the curb and crashed into the practice's bathroom while a nine-year-old girl was inside; no one was hurt. He was at the other location, between patients, and the team needed to know what to tell patients, what to post online and what to say if reporters showed up.

What happened

Self-reported, with no numbers: he says that without it the response would have taken a long time, and the team would probably have said the wrong things, such as giving the news the girl's name. He says he uses ChatGPT every day, multiple times a day. No time or rating figures are given. Both dentists also coach for DSI and mention a dental app they are building that wasn't live yet.

How to set it up yourself

  1. What Valley Family Dental's owner did: gave ChatGPT the facts and the photos, asked it to act as his PR expert, and got one playbook covering the team, the owner, social media, the Google page and reporters.
  2. Write the facts down first in a few lines: what happened, when, who was hurt (or that no one was) and what you don't know yet. Leave out the names of patients, children and staff.
  3. DIY path: paste the prompt below into ChatGPT (the free plan works to start) with your facts, and check each part against what you actually know.
  4. Have the owner approve the final wording before anything goes on Google, social media or to a reporter, and give the team their script in writing.
  5. Suggestion: save this prompt in a ChatGPT project before you need it, so whoever is at the office can start it while you're with a patient.

Copy-paste prompt

Act as the PR advisor for {PRACTICE NAME}, a dental practice in {TOWN}. Here is what happened: {FACTS, e.g. a car hit the building at 10 a.m.; no one was hurt; we are closed the rest of today}. Do not use any patient, child or staff names. Give me: 1) a 3-sentence script for the front desk and team, 2) a short statement from the owner, 3) a social media post, 4) an update for our Google Business Profile, 5) what to say and not say if a reporter calls, 6) a message for patients booked today. Keep each part under 80 words and flag anything we should confirm before it goes out.
