Explain a diagnosis to a client in their own language and draft visit summaries with ChatGPT, checking every line before it goes out
Fen Vet, a veterinary practice in Alberta, Canada, with CEO Dr. Cody Creelman interviewed by Today's Veterinary Business
When a Ukrainian-speaking client's dog was diagnosed with an ear infection, Dr. Creelman typed the explanation and treatment plan into ChatGPT, reviewed the response, had it translated into Ukrainian, and turned the screen to the client. The team also uses AI to generate post-visit summaries and discharge notes, and one doctor turns details from the visit into a friendly, story-style client message that still carries all the instructions. ChatGPT also drafts internal emails and HR paperwork. The practice software they use (Digitail) has AI built in.

The problem
Clients don't always share a language with the vet, and visit summaries and discharge notes take time the team would rather spend on patients.
What happened
As reported by Today's Veterinary Business: the client 'read it and smiled. He fully understood.' Creelman says 'we scan and fact-check everything. We see errors often, but that's expected,' and that editing is needed but AI has 'remarkably' increased their workflows. No time or revenue numbers given.

How to set it up yourself
- What they did: wrote the explanation in plain English first, reviewed ChatGPT's version, then had it translated and showed it to the client on screen.
- Keep names, contact details and record numbers out of consumer AI tools; describe the case generically.
- Ask for the plain-language version before the translation, so you can check the medicine in a language you read.
- Check the translation by asking for it to be translated back into English, and keep it short.
- For visit summaries, start from your own notes and have AI rewrite them for the client; a clinician reads every one before it's sent.
- Save the prompts that work as templates for the front desk.

Rewrite this for a pet owner at a sixth-grade reading level, then translate it into [language]. Keep the meaning exactly the same; don't add advice, doses or reassurance that isn't in my note. Format: 1) what we found, 2) what we're doing, 3) how to give the medication, 4) when to call us right away. After the translation, translate it back into English so I can check it. My note: [diagnosis, treatment, instructions, recheck date].
