Draft a reply to every Google review with a Claude prompt that keeps your voice, and have the front desk approve each one
Dr. Shane Wingler, owner of Carolina Pines Dentistry, on the Dental Marketing Goat podcast (run by his marketing agency, SMC National)
The team is building one Claude prompt with guardrails for how the practice sounds. When a new Google review comes in, it drafts the reply, and the front desk only approves it before it posts. The same Claude setup, connected to the practice's brand in Canva, turns a broken process into a new SOP or form (for example a phone intake sheet with name, date of birth, insurance and chief complaint) with the logo and colors. Hygienists used ChatGPT to build a post-op instruction sheet for scaling and root planing patients.

The problem
The practice gets about 50–60 Google reviews a month and wants to answer every one, but writing the replies takes team time away from patients.
What happened
Self-reported and still in progress: the review automation was being built when he described it, so there are no time-saved figures yet. Branded SOPs and forms take 'a few minutes.' The host warned that Google may treat obviously automated replies as spam, which is one more reason a person approves every reply. The practice's AI receptionist and X-ray AI (Overjet) are separate setups.

How to set it up yourself
- What they're doing: one saved Claude prompt with the practice's tone and rules, a draft for every new Google review, and a front-desk approval before anything posts. It was still being built when he described it.
- Write the guardrails once: tone (warm, short), sign-off, and hard rules: never confirm the reviewer is a patient, never mention treatment, dates, prices or staff names, and move complaints to a phone call.
- Save them as a Claude project (or custom instructions) and paste in three or four past replies you liked as examples.
- Each morning, copy new reviews from your Google Business Profile into the project and get one draft per review.
- A front-desk person reads, edits and posts each reply by hand; the owner or office manager answers anything rated 1–3 stars.
- Use the same project for branded forms and SOPs: describe the broken process, list the fields you need, and ask for a one-page version (he connects Claude to the practice's Canva brand so it comes out with the logo and colors).
- DIY adaptation (not what Carolina Pines described): to trigger drafts automatically, send each new review from Google Business Profile through Zapier or Make to Claude or ChatGPT and have the draft land in email or Slack for approval. Don't auto-post.
Copy-paste prompt
You reply to Google reviews for [Practice], a dental office in [town]. Tone: warm, brief, local; sign as 'The [Practice] team'. Rules: under 80 words; never confirm the reviewer is a patient or mention any treatment, procedure, date, price or staff name, even if the reviewer does; for a complaint, apologize once, don't argue, and invite them to call [office manager] at [phone]; no discounts or promises. Three replies we liked: [paste]. Draft one reply for each review below and flag any the doctor should answer personally. Reviews: [paste]
