Answer a 1-star Google review with a seven-part prompt instead of hours of drafting
Dr. Steve Dove, owner of Dove Dental Group in Springfield, Missouri, in a DSI conference session with Dr. Beau Sparkman, replayed on The Dentalpreneur Podcast
He uses a seven-part prompt formula: role, audience, task, context, tone, format and a safety rule (no patient identifiers). For the review, the role is a practice manager at a dental office responding publicly to a Google review, and the audience is the reviewer plus every prospective patient who will read the reply while deciding whether to book. He pastes in the prompt, uploads an image or the text of the review and asks for the reply. The rollout he recommends: learn the prompt formula, build 10 approved prompts, train one role (usually the office manager), then review the wins and expand.

The problem
A bad Google review starts a clock (his example: an emergency extraction patient upset about the cost, the healing and calls not being answered). He didn't trust his team to write words that affect the whole office, so he could spend another hour, two hours or three hours crafting the reply himself.
What happened
Self-reported, with no numbers: he says he got "a perfect response as opposed to a hallucinated response from AI." The session doesn't say which AI tool he used for this demo (it covers ChatGPT, Claude, Gemini, Perplexity and NotebookLM) and gives no time-saved or rating figures. The session's HIPAA rule: never put patient names, dates of birth or subscriber IDs into these tools. Both dentists also coach for DSI and mention a dental app they are building that wasn't live yet.

How to set it up yourself
- What Dove Dental Group's owner described: a seven-part prompt (role, audience, task, context, tone, format, safety rule), then a screenshot or the text of the review, and the reply comes back ready to edit.
- Before you paste anything, follow the session's rule: no patient names, dates of birth or subscriber IDs. Paste only the review text, or crop the reviewer's name out of the screenshot.
- DIY path: open the free plan of ChatGPT or Claude, paste the prompt below with your practice details filled in, then the review. Ask for two versions and pick one.
- Read the reply as a prospective patient would. It must not confirm the person was a patient or mention treatment, cost or dates, even if the reviewer did. Then post it yourself from your Google Business Profile.
- Save the prompt in a ChatGPT project or Claude Project and train one person (the session suggests the office manager) before the rest of the team uses it.
