AI scheduling and meeting prep for financial advisors and professional firms
Solo advisors and small firms are using booking links and AI notetakers so client meetings land on fixed days and prep and follow-up take less time outside the meeting. The examples below include a solo RIA that keeps meetings to Tuesday–Thursday with Calendly, Claude and an AI notetaker, another RIA that puts a Calendly link in every follow-up email and runs live working sessions, and a family-law firm that measured missed calls before adding an AI intake agent that books consults.

How to choose and set it up
- Start with a booking link that limits meeting days and adds buffers (Calendly or similar).
- Add an AI notetaker that writes a summary and tasks into your CRM after each meeting; get client consent to record.
- Put the next booking link in every follow-up email so clients schedule themselves.
- Keep advice and plan recommendations with the human; use AI for prep templates, notes and scheduling logistics.
- For phone intake, measure your missed-call rate before you buy an AI receptionist so you know what 'fixed' looks like.

Will clients hate a booking link?
Some still prefer to email. Oak Maple Finance and Town Capital both use Calendly-style links alongside human scheduling; one Kitces guest deliberately kept human booking because clients share concerns on that call.
What about compliance and recording?
Get consent before an AI notetaker joins. Prefer business plans that don't train on your data, and keep client files in your approved CRM.
What results have firms reported?
Town Capital's owner says AI-drafted one-page plans come out about 80% right before he edits them (self-reported). STG Divorce Law, in a vendor case study, reported missed calls falling from 13.7% to 3.7% in three months after adding an AI intake agent (as reported).
