Write down your coaching rules so AI can draft member programs and progress reports from your gym software

who Mike Collette, founder and CEO of Prototype Training Systems, a gym in Westborough, Massachusetts, on the gym's own blog

What it does

Collette wrote down his coaching process, principles, exercise library and performance-coaching archetypes so an in-house AI coach can draft individualized programs by the gym's own rules. He is working on having it generate 4-week progress reports from TrueCoach data. In a 2026 post, the gym's monthly attendance recognition (sign-ins, streaks, family pairs, members nearing 500 classes) was pulled from its Wodify data and put together by AI tools the gym is building in-house.

The problem

Writing individual programs took so much time that, in his words, some weeks he spent more time building programs than coaching people.

What happened

No time savings reported. He says early AI program drafts missed nuances such as mislabeling conditioning and ignoring equipment limits, which pushed him to tighten the written rules. The April 2026 recognition post covered 1,040 sign-ins, a 24-member four-month streak and five family pairs. Self-reported.

How to set it up yourself

  1. What Prototype Training does: an in-house AI coach drafts programs from Collette's written coaching rules, and AI tools pull monthly member recognition from Wodify data. The model isn't named.
  2. Write your rules down first: how you pick exercises, progressions, what each type of member needs, and the equipment you actually have. Early drafts at Prototype missed equipment limits until the rules said so.
  3. Put those rules and your exercise list into a ChatGPT or Claude project, then paste one member's goals and recent training log (first name only) with the prompt below.
  4. A coach reviews and edits every draft before the member sees it.
  5. Once a month, export attendance from your gym software and ask the same project for a recognition post: streaks, milestones and new members to shout out.

You are a first-draft programming assistant for {GYM NAME}. Follow our coaching rules exactly: {PASTE RULES, PROGRESSIONS AND EXERCISE LIBRARY}. Equipment we have: {LIST}. Member: {FIRST NAME}, goal {GOAL}, trains {DAYS} days a week, limitations {LIMITATIONS}. Here is their last 4 weeks of training: {PASTE LOG}. Draft next 4 weeks of training with sets, reps and a one-line reason for each change, plus a short progress note to the member in plain language. Use only the equipment listed, and flag anything you're unsure about for the coach.
