Use ChatGPT to draft policies, SOPs and checklists in hours instead of weeks, then keep the execution human
Ancenta Cleaning Services, a commercial cleaning company in St. Louis founded by Mark Whyte in 2018 (offices, healthcare facilities, manufacturing plants, nonprofits), in a first-person post on the company's LinkedIn page
The company brought ChatGPT in "like a full-time partner": in operations it helps draft policies, update standard operating procedures and create and format checklists; in marketing it builds on what the company already has for blog post ideas, cold call scripts and SEO plans; in HR it helps with resume screening and comparisons for interviews; and for brainstorming the team starts with 10 AI-generated outlines and refines them.

ChatGPT
The problem
Work kept stalling at the starting block: slow, repetitive copy-and-paste work and back-and-forth on documents the company knew it needed.
What happened
"What used to take weeks of back-and-forth now takes hours," the post says about policies, SOPs and checklists. It adds that ChatGPT "doesn't execute": it doesn't make the sales call or show up on site for inspections, and staff are now paid to think and execute rather than copy text into Word documents. No one was actually let go. Company-told.

How to set it up yourself
- What Ancenta does: ChatGPT drafts and updates policies, SOPs and checklists, gives the team outlines for blog posts, cold call scripts and SEO plans, and helps compare resumes; people make the calls, do the inspections and own the result.
- Start with the document you've been putting off longest. Paste your rough notes or the old version into ChatGPT with the prompt below instead of starting from a blank page.
- Have the person who will use it (a supervisor for a checklist, a salesperson for a call script) mark it up before it becomes official.
- Keep the finished versions in one folder and update them the same way when something changes, so nobody rebuilds them from scratch.
Copy-paste prompt
Turn my rough notes into a {DOCUMENT, e.g. site checklist / cleaning SOP / policy} for {COMPANY NAME}, a commercial cleaning company. Facility type: {FACILITY}. My notes: {NOTES OR OLD VERSION}. Format it so a {READER, e.g. new night-shift cleaner} can follow it: numbered steps, what 'done' looks like, safety notes, and a sign-off line. Don't add rules, products or frequencies I didn't give you; list anything missing as questions for me.One short email a day: 3 new AI use cases from real small businesses, each with its source and setup steps, plus a Tool of the Day.
