Turn your level-test framework into a run sheet, guest briefs, scenario cards and per-candidate feedback with Claude
Micha Hershman, owner of Forge Krav Maga, a self-defense school in San Francisco, on his school's blog
He brought the organizing framework: roughly a quarter teaching, sparring in four modes, and situational drills carrying most of the weight. He "used AI to turn the framework into documents, catch the timing conflicts, and stress-test the schedule against how tired three candidates will be in hour four." For the graduate test alone that meant a 300-minute run sheet, briefs for five guest instructors, scenario cards and gear logistics. During the test he records feedback as voice notes. Afterward "the system organizes them into per-candidate write-ups." He works in Claude projects with briefs and logs.

The problem
He runs quarterly level tests. For the current cycle he rebuilt the graduate-level format around less memorization and more teaching, scenarios and discussion, with guest specialists the candidates have never trained with. Three of his five instructors are testing themselves, and five other levels have to test with two other instructors, all in the same afternoon. He calls designing that "an event-production problem."
What happened
He says the voice-note write-ups mean "everyone gets detailed feedback while the day is still fresh" and that "This would have been really hard to do on my own." He also says it "was confidently wrong plenty of times in the work described above, and so was I," and that "Everything it produces is an input to my judgment." No time or money figures are given. Owner-told.

How to set it up yourself
- What Forge Krav Maga does: Micha Hershman brings his own test framework. Claude turns it into a 300-minute run sheet, briefs for five guest instructors, scenario cards and gear logistics. It catches timing conflicts and stress-tests the schedule against how tired candidates will be. After the test it organizes his voice-note feedback into per-candidate write-ups.
- Write your test framework as plain notes first: the blocks, roughly how much time each gets, who is testing, and which instructors and guests are available when. Paste it into Claude with the prompt below. If you use a Claude project, keep the framework there as a standing doc.
- Walk through the run sheet minute by minute for each instructor and candidate, and fix any clash it missed. Treat every document as a draft for your own judgment.
- During the test, record a short voice note per candidate and say their name first. Afterward, turn the notes into text and ask Claude to sort them into one write-up per candidate, using only what you said. Read each one before you send it.
Copy-paste prompt
Here is my {LEVEL TEST} framework for {SCHOOL NAME}: {FRAMEWORK NOTES}. Date and time window: {DATE, START-END TIME}. Candidates and levels: {CANDIDATES}. Instructors and guests with availability: {STAFF LIST}. Gear and space: {GEAR, MATS, ROOMS}. Build 1) a minute-by-minute run sheet, 2) a one-page brief per guest instructor, 3) a scenario card for each drill, 4) a gear list by block. Then list every timing conflict (anyone due in two places, anyone testing while they're due to teach) and flag where candidates will be most tired. Use only the people, times and drills I gave; never invent a rule, technique or time.
