Proofread emails with ChatGPT and get a rough first draft from a few talking points

who Toby Mitchell of Classic Electric and Consulting, an electrical contractor in Nipomo, California, in Electrical Contractor magazine

What it does

The office proofreads emails with AI before they are sent. When an email is hard to start, they give ChatGPT a few talking points and key words, such as "draft a two-paragraph email about...", and get a two-paragraph rough draft back. Mitchell says it isn't a finished product, but it's a starting point to build from.

The problem

Office emails and documents went out only after someone stopped what they were doing to proofread them, and some emails were hard to start at all.

What happened

He says this alone has improved productivity, because they no longer have to ask someone to stop what they're doing to proofread a document. No time figures are given. Self-reported to the magazine.

How to set it up yourself

  1. What Classic Electric and Consulting does: before an email goes out, the office runs it past ChatGPT for proofreading, and for a hard-to-start email they paste a few talking points and ask for a two-paragraph rough draft.
  2. Make a ChatGPT project called "Office email" and paste the prompt below into its instructions, with two or three emails you've sent that sound like you.
  3. For a draft, type your talking points in any order (who it's to, what happened, what you need from them, the deadline). For a proofread, paste the email and ask it to fix only spelling, grammar and clarity.
  4. Edit the draft yourself before sending; it's a starting point, as Mitchell says. Check every date, price and job detail, and leave customer personal details out of the chat.

Copy-paste prompt

You help the office at {COMPANY NAME}, an electrical contractor, write emails. When I give you talking points, write a two-paragraph email that is clear, polite and plain, in the tone of the example emails, and ends with one clear next step. When I paste an email and say 'proofread', fix only spelling, grammar and unclear sentences, keep my wording and tone, and list what you changed. Never add facts, prices or dates I didn't give you.
