Let a bot read incoming plumbing work orders from client portals, find an open slot and book the job
Jon O'Neill, director of operations at Zoom Drain Phoenix, a drain and sewer service company in Phoenix, Arizona, in his own thread on X (he has since announced he is leaving for a product role at a homebuilder)
A bot reviews each incoming work order, finds open slots on the company's calendar, confirms the customer's availability and books the job, so plumbers get the work without the office re-keying it.

The problem
Five or six time-sensitive work orders a day arrive from facility-maintenance companies, warranty companies and property managers, each through its own app or portal, and someone in the office has to re-enter and schedule every one.
What happened
He says intake of 5-6 time-sensitive work orders a day is now automated, and a work order goes from creation to booked job in about 10 minutes when the customer replies promptly. With Claude he got roughly 80% of the way in about a week but couldn't automate the client portals in a browser; a Grok bot rebuild took about four hours. Self-reported.

How to set it up yourself
- What Zoom Drain Phoenix used: a bot connected to Gmail, Slack, ServiceTitan, Quo and a facility-maintenance client app. He started in Claude (about 80% working after a week) and finished on a Grok bot; the thread doesn't give the full wiring, so the steps below are a simpler DIY version.
- List every place work orders arrive (email alerts, portals, texts) and the fields you need to book one: customer, address, problem, priority, access notes, deadline.
- Start with the email ones: forward work-order emails to one inbox and have Zapier send each new email to ChatGPT or Claude with the prompt below, writing the result to a Google Sheet or Slack channel.
- Have a person book from that summary into your field-service software for two weeks, checking each extracted field. Only then connect booking to your scheduling tool's API or automations.
- Leave portals that need a login and clicking for last; that browser step is where his Claude version got stuck.
Copy-paste prompt
You read incoming work orders for {COMPANY NAME}, a {TRADE} company in {CITY}. From the work order below, return: client company, end customer name and phone, service address, problem description in one sentence, priority (emergency / within 24 hours / scheduled), deadline or SLA if stated, access notes, and PO or work-order number. Then suggest the first two open slots from this list that meet the deadline: {OPEN SLOTS}. If any field is missing, write MISSING and draft a one-line text to the customer asking for it.
