Give your designers paid ChatGPT for plant-spacing math, design ideas and a second pass on proposals
Justin White, owner of K&D Landscaping, Inc. in Watsonville, California, in The Edge, the National Association of Landscape Professionals' magazine
K&D has a handful of subscriptions to the paid version of ChatGPT. Staff use it to automate complicated formulas like plant spacing and a lot of other math they used to do manually, to generate ideas around designs or proposals, and to fine-tune proposals and outgoing messages.

The problem
Designers used to work out complicated formulas like plant spacing by hand, and proposals and outgoing messages needed fine-tuning. The company is growing 25 to 30% a year and wants to grow without adding people.
What happened
White says that because the company is early in its testing it hasn't saved a lot of time yet; he expects AI to save the admin team around 15 to 20% once it finds what works, which is a forecast, not a result. AI takeoffs are still checked against the old way because the team doesn't fully trust them yet. Self-reported.

How to set it up yourself
- What K&D Landscaping does: a few staff have paid ChatGPT accounts for plant-spacing and other design math, design and proposal ideas, and a second pass on proposals and outgoing messages.
- For spacing math, give ChatGPT the bed size, plant, on-center spacing and pattern with the prompt below, and check one bed by hand.
- For proposals, paste your own draft and ask for a clearer version; keep every quantity and price exactly as you wrote it.
- Do what K&D does with AI takeoffs: run AI results side by side with your usual method until you trust them.
Copy-paste prompt
I'm laying out a planting bed for {CLIENT OR PROJECT}. Bed area: {SQ FT} (or dimensions {LENGTH x WIDTH}). Plant: {PLANT}, spaced {INCHES} on center in a {TRIANGULAR / SQUARE} pattern, with a {INCHES}-inch setback from the edge. How many plants do I need? Show the formula and each step so I can check it, then give the count rounded up, and again with {PERCENT}% extra for losses. The $39 Plumbing & HVAC AI Starter Kit has ready-to-use call scripts, missed-call texts, estimate follow-ups and review templates, built from 18 real, sourced setups.
