The problem

Homeowners often do not know a realistic remodel budget, and conventional estimates that compile cost codes, allowances, labor, subs and contingencies can take many hours before a salesperson can answer 'is this budget real?'

Self-reported: work that took about eight hours to compile took the AI tool about 30 minutes in a test, and the result came within about five percent of a staff estimate. How to set it up yourself

1. What they did: standardized on Claude with shared Projects loaded with company estimating rules and historical job data, then used that for ballpark budgets while keeping JobTread as the PM system.
2. Inventory your tech stack and pick one primary AI (they chose Claude) so staff are not reinventing prompts in five tools.
3. Create a Claude Project for estimating: upload de-identified past job summaries, cost-code list, allowance rules and standing instructions (always ask for missing scope; never invent client names).
4. Have sales describe scope + property constraints in plain language and ask for a ballpark with contingencies, then compare to a staff-built estimate before you show a client.
5. Add separate Projects for sales qualification and SOP search so answers stay on-brand.
6. DIY adaptation (solo remodeler): without JobTread, keep a spreadsheet of past jobs and upload that CSV to a Claude or ChatGPT project with the prompt below.
