Turn recorded Spanish client conversations into case notes for your practice-management system

who Jared Jaskot, lawyer and owner of Jaskot Law, in an ABA Law Practice Magazine roundtable

What it does

He records the conversations, has them transcribed and translated, then feeds the transcript to AI with an instruction that turns it into a case note for his practice-management system. The roundtable doesn't name the AI or transcription tools.

The problem

Most of his client conversations are in Spanish, and he says he has always struggled with taking good notes.

What happened

"I have always struggled with taking good notes and now my notes are excellent thanks to transcription, translation and summarization," he says, adding that it saves time and gives more depth and detail than he thought he could get. No figures are given. Self-reported.

How to set it up yourself

  1. What Jaskot Law does: client conversations, mostly in Spanish, are recorded, transcribed and translated, and the transcript goes into an AI tool with a standing instruction that turns it into a case note for the practice-management system. The tools aren't named, so the steps below are a DIY version.
  2. Get the client's consent to record, and use a paid plan whose terms say your chats aren't used for training (for example ChatGPT Business or a Claude Team plan). Record on your phone or computer and run it through a transcription tool that supports Spanish, then save the transcript as text; ChatGPT and Claude both read Spanish and can translate as they write the note.
  3. In ChatGPT, select New project in the sidebar (or a Claude project), name it "Case notes", and paste the prompt below as the project instructions along with one case note you wrote yourself as the model. Paste or upload each transcript to that project after the meeting.
  4. Read the note against the transcript before it goes in the file, especially dates, names, charges and anything the client said about immigration status. Paste the checked note into the matter in your practice-management system and keep the original recording with it.

Copy-paste prompt

This is a transcript of a conversation in {LANGUAGE, e.g. Spanish} between me, {YOUR NAME}, and my client in the matter {MATTER NAME OR NUMBER}. Write a case note in English in this format: date and who was present; what the client told me (facts, in order); documents mentioned or still needed; what I advised; the client's questions; next steps with who does what by when. Quote the client's own words (with the original {LANGUAGE}) for anything important. Don't add facts or legal conclusions that aren't in the transcript, and mark anything unclear as [CHECK].
