Turn each prospect call into a branded, interactive proposal page with AI instead of a static PDF

who Christopher Haigh, CEO of Iconoclastic Capital, a financial planning firm in Rochester, New York (about 120 client households, team of five), on the Financial Advisor Success podcast

What it does

After the intro and analysis calls, he feeds the meeting transcripts and planning data (for example from RightCapital) into a proposal template he built in v0 (Vercel's AI app builder). It drafts the client's priorities and the scope of work as an interactive web page on a custom link with the client's first name, with short quizzes built in; he tweaks it and sends the link, and corrections show up without re-sending. Before this he sent templated PDFs with a Loom walkthrough. An AI notetaker (Hazel) transcribes meetings and syncs case notes to the CRM (Wealthbox). On the phones, an AI receptionist added to RingCentral is prompted with what callers ask and who they're trying to reach, and routes calls to the right person.

The problem

Custom proposals won clients, but each took three to four hours even with templates, with about 150 prospects booking calls a year. Many incoming calls also ended up in voicemail.

What happened

Self-reported: proposals used to take three to four hours each even with templates ('my burnout ratio was as well'); now the template drafts the priorities and he only tweaks them (no new time given). He says the conversion rate was already high. The AI receptionist routes calls that used to end up as missed calls and voicemails 'a lot more effectively' (no figures).

How to set it up yourself

  1. What he did: built one proposal template in v0, then for each prospect fed it the call transcript and planning data to draft the priorities and scope as a branded web page.
  2. Start from the proposal you already send and list its sections: their goals, what you found, your recommendations, scope and fee, next step.
  3. Give the AI builder your brand (logo, colors, fonts, tone) and ask for a one-page web version of that proposal to reuse as a template.
  4. For each prospect, paste the de-identified call notes and your numbers, generate the draft, then rewrite any advice or pricing yourself.
  5. Send it as a link (it updates when you edit). He used to add a short Loom walkthrough to each proposal; that still helps.
  6. For phones: if your phone system offers an AI receptionist (his is in RingCentral), write prompts for the common reasons people call and who handles each, then check where calls went each week.
  7. DIY adaptation (not his exact setup): Claude or ChatGPT can produce the same kind of single-file HTML proposal page in a chat if you'd rather not use v0; use the prompt below.

Copy-paste prompt

Build a one-page proposal web page (a single HTML file) for a prospective client of [Firm], a [type] firm. Brand: [colors, fonts, logo URL]; tone: plain and warm. Sections: 1) what you told us matters most (from the call notes), 2) what we found, 3) our recommended priorities in order, with one sentence on why each, 4) scope of work and fee: [paste], 5) next step with a button linking to [booking link]. Use only the de-identified notes below and mark anything missing as [CONFIRM]. Don't promise returns or outcomes. Notes: [paste]
