Give property managers Claude in Chrome and a schedule database so AI answers renter questions and helps book tours

who Jonathan Miradi, a property manager at Wilbur Properties in Palo Alto, California (about 800 residential units), in Palo Alto Online

What it does

The company's managers use Anthropic's Claude in Chrome. Miradi set up a database that lets the AI answer questions and check property managers' schedules to help arrange apartment tours; when it can't answer a question, it alerts a property manager.

Tool cost

Claude $17/mo billed annually ($20 monthly) · The article doesn't say which Claude plan the company uses.

The problem

Routine renter questions and tour scheduling consume a property manager's day.

What happened

Managers have used it since July. No figures. "A lot of time, there's a sentiment that AI can replace workers," Miradi said. "That's not what I'm trying to do." Next he wants it to work through the company website so it can respond to tenants and prospective renters directly.

How to set it up yourself

  1. What Wilbur Properties used: Claude in Chrome for its property managers, plus a database Miradi built with answers and managers' schedules so the AI can help arrange tours.
  2. Put your common renter answers (pets, parking, deposits, application steps, each unit's features) and each manager's tour availability in one shared sheet or doc.
  3. Install Claude in Chrome from the Chrome Web Store (check which Claude plans include it), and let managers use it on renter emails with the prompt below.
  4. Tell it to flag any question the sheet doesn't answer for a manager instead of guessing, and keep a person approving every reply and tour time at first.
  5. Check your state's rules on AI in apartment marketing before letting it reply to renters directly.

Copy-paste prompt

You help the leasing team at {COMPANY NAME}. Using only the answers in {SHEET OR DOC NAME} and the tour availability for {PROPERTY}, draft a reply to this renter message: {PASTE MESSAGE}. Offer two tour times from the available slots. If the message asks anything the sheet doesn't answer, say a property manager will follow up and list the question as NEEDS MANAGER. Follow fair housing rules: describe the property, not who should live there.
