Get a daily summary of your inbox and meeting action items with Copilot, inside Microsoft 365

who Mitch Zoll, founder and principal attorney of Zoll Firm, PLLC (a solo business-law practice in Austin, Texas), in ABA Law Practice Magazine

What it does

He uses a Copilot agent that stays inside his Microsoft environment to protect client information: it scans his Outlook email, summarizes it grouped by sender and subject and lists open action items. In Teams, Copilot transcribes his meetings and gives a summary and action items, which go into his client call logs. He also has Copilot check meeting times people offer against his calendar and draft the reply.

Tool cost

Microsoft Copilot: Business add-on from $18/user/mo paid yearly (promo, normally $21); Individuals from $9.99/mo (business data protection needs the business plan)

Setup

The problem

A solo lawyer's email and client calls carry the day's to-dos, and keeping track of them (and of what was said on a call a month ago) takes time he can't bill for.

What happened

He says the daily summary helps him organize the day, set the next day's priorities and keep up with billable time, and the call summaries are "invaluable when a client calls back a month later." No figures are given. Self-reported.

How to set it up yourself

  1. What Zoll Firm does: a Copilot agent inside Microsoft 365 summarizes the Outlook inbox by sender and subject with open action items each day, Copilot in Teams writes meeting summaries and action items that go into the client call log, and Copilot proposes meeting times from his calendar. He keeps this in Copilot rather than ChatGPT so client email stays inside his Microsoft tenant.
  2. Use a Microsoft 365 business plan with the Copilot add-on, signed in with your work account, so Copilot works over your own mailbox and calendar under your business data terms. Check with whoever manages your Microsoft account that client email isn't being shared outside it.
  3. Each morning, open Copilot Chat from Outlook or Teams and paste the prompt below. Read the action items against the emails themselves before you act on them; Copilot can miss a buried request.
  4. For client calls on Teams, turn on transcription when the meeting starts (tell the client first), then ask Copilot for a summary and action items and paste them into that client's call log in your practice-management system.

Copy-paste prompt

Look at my Outlook email from {TIME PERIOD, e.g. the last 24 hours}. 1) Summarize it grouped by sender, then by subject, one or two lines each. 2) List every open action item: who asked, what they need, any deadline mentioned, and the email it came from. 3) Flag anything from {CLIENT OR COURT NAMES TO WATCH} at the top. 4) If anyone offered meeting times, check them against my calendar and suggest the best one. Don't draft or send anything to clients; just list what needs my attention.
