Draft a bookshop's monthly book-subscription letters, book tips and event press releases with ChatGPT

who Anja Urbschat, owner of localbook.shop, an independent bookshop in Düsseldorf's Carlstadt district, Germany, in Börsenblatt, the German book trade magazine

What it does

The shop uses the paid ChatGPT Plus, kept open next to its bibliographic databases. At first the team gave it a rough draft about the month's subscription title and let it write the version for each audience, such as the children's book subscription; more recently she uses a specialised 'Books' GPT that writes a summary from just a title. For book tips she enters the title and the length she wants and prints or posts the result, and the shop has it write event press releases and help with blog and LinkedIn posts. Why the shop chose a book is still written by the staff, who have usually read it.

The problem

Writing the letters for the shop's monthly book subscriptions, its personal book tips and press releases for events took creative energy that was hard to find after a long day in the shop.

What happened

Self-reported (our translation from German): she says it saves an enormous amount of time on texts and ideas and calls ChatGPT "a good sparring partner" when she has no spark left to write. Once it delivered a great text about a book that didn't match the chosen title, so "checking is essential." No time figures are given. The interview is from February 2024, so today's tools work differently.

How to set it up yourself

  1. What localbook.shop does: ChatGPT Plus drafts the monthly subscription letters for each audience, the shop's printed and online book tips from a title and a length, and event press releases; the staff add why they chose each book and check every summary against a book they have read.
  2. Keep a short note for each subscription (who it's for, their age or tastes, the tone you use with them) and paste it into the chat with that month's title and your own two or three lines on why you picked it.
  3. Ask for the letter, then a 60-word shelf tip and a 120-word web version from the same chat, using the prompt below.
  4. Check every plot detail, author name and date against the book or the publisher's page before printing; ChatGPT once described the wrong book for this shop.

Copy-paste prompt

I run {SHOP NAME}, an independent bookshop in {CITY}. This month's {SUBSCRIPTION NAME} title is {TITLE} by {AUTHOR}, for {AUDIENCE}. Why we picked it, in my words: {YOUR 2-3 LINES}. Write (1) a warm subscription letter under 150 words in the tone we use with {AUDIENCE}, (2) a 60-word shelf tip and (3) a 120-word web version. Don't invent plot details, awards or quotes; mark anything you're unsure of with [CHECK].
