Cut bookkeeping client onboarding from two to four hours to about one by moving to an AI-native ledger

who John Eiduk, CPA, CFP, founder of Eiduk Tax & Wealth (tax planning, advisory and bookkeeping for healthcare professionals; founded 2021; a solo practitioner with one offshore bookkeeping partner), in a Digits customer story published in CPA Practice Advisor

What it does

He tested Digits, an AI-native accounting platform, on his own firm's books first (multiple bank accounts, Stripe, payroll accounts and transfers), then started moving clients. The system learns transaction patterns, so categorization, reconciliation and review happen in one workflow and his role shifted to reviewing exceptions; he lets auto-reconciliation run while he works on something else.

The problem

On traditional cloud accounting software, bookkeeping meant what he calls coordination fatigue: receipts, categorizing transactions, reconciling accounts, communicating with clients and managing bookkeepers. Onboarding a bookkeeping client meant extensive setup, configuration, data validation and workflow creation.

What happened

"QuickBooks onboarding used to take me two to four hours per client," he says. "Now it's closer to an hour, assuming the client is responsive." The story also says he lowered bookkeeping package pricing by more than one-third while keeping the work profitable. Vendor customer story: the figures come from Digits, which sells the platform.

How to set it up yourself

  1. What Eiduk Tax & Wealth does: bookkeeping runs on an AI-native ledger that learns each client's transaction patterns, so a new client is set up in about an hour and he reviews exceptions instead of coding every transaction.
  2. Time your current onboarding for the next two bookkeeping clients: account setup, bank connections, history import, chart of accounts and first reconciliation.
  3. Test any AI bookkeeping platform on your own firm's books first, as Eiduk did, with every messy account you have (several banks, Stripe, payroll, transfers). The prompt below writes the test plan.
  4. Move one or two new clients only after reconciliations tie out, and compare their onboarding time with your baseline.

Copy-paste prompt

I'm evaluating an AI bookkeeping platform for {FIRM NAME}. My own books include: {ACCOUNTS, e.g. 3 bank accounts, Stripe, payroll, credit cards, transfers}. Write a one-week test plan: what to import, which reconciliations to tie out against my current ledger, which categorization errors to look for, and the pass/fail rules before I move a client. Then write a checklist for onboarding a new bookkeeping client onto it, with a column for the time each step takes.
